Job Description
Job Summary Dr. Yoshihiro Katsuura is a board-certified orthopedic spine surgeon specializing in complex adult and pediatric spine care. Dr. Katsuura is seeking either an experienced Office Manager or a Front Office Coordinator with the potential to grow into an Office Manager role. This full-time position is ideal for a motivated, patient-focused professional who enjoys leading office operations, supporting patients, and helping a small specialty practice run efficiently.
Schedule:
Monday through Friday, 8:30 AM to 5:00 PM, with some flexibility. This position reports directly to the physician and works closely with clinical and administrative staff to achieve operational goals. Key Responsibilities Oversee the daily operations and workflow of the medical office to ensure excellent patient service and efficient practice management. Supervise, train, mentor, and support front office staff while reinforcing office policies and procedures. Manage patient check-in/check-out, scheduling, waitlists, referrals, insurance verification, and authorizations. Coordinate physician schedules, surgery scheduling, and communication with hospitals and outside facilities. Process medical records, maintain accurate EMR documentation, and ensure HIPAA compliance. Monitor patient flow and address patient concerns promptly and professionally. Assist with billing coordination, batching encounters, payment tracking, and communication with outside billing vendors. Manage staffing schedules, attendance tracking, time-off requests, interviews, and performance reviews. Ensure timely handling of prescription refill requests, referrals, and other administrative tasks. Maintain relationships with vendors, contractors, and healthcare partners. Support office growth initiatives, including workflow improvements and practice marketing or social media support when needed. Maintain strict confidentiality and foster a positive, professional office culture. Qualifications 2-5 years of progressive medical office experience required; preferably in a front office administrative or surgery scheduler role. Prior supervisory, lead, or office management experience preferred. Experience with EMR systems required; AdvancedMD experience is a plus. Strong organizational, communication, and customer service skills. Ability to multitask and prioritize in a fast-paced healthcare environment. Orthopedic, spine, or surgical practice experience preferred. Medical billing knowledge or experience working with billing services. Bachelor's degree or equivalent professional experience preferred.
