Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, effective communication, and a welcoming atmosphere for members, visitors, and team members alike. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive approach to office management. Duties Oversee all administrative functions including data entry, filing, and document management to maintain accurate records and streamline office processes. Manage front desk operations by greeting visitors, answering multi-line phone systems with professionalism, and directing calls efficiently using phone etiquette. Process payroll for office personnel and payroll-related duties Process accounts payable and receivable Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) and spreadsheets to prepare reports, correspondence, and presentations. Membership inquiries and school related issues Maintain office supplies inventory, process purchase orders via QuickBooks or similar accounting software, and ensure office equipment is functioning properly. Support personal assistant tasks as needed, including travel arrangements and event planning to enhance overall office efficiency. Experience Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Previous experience in accounting and payroll Demonstrated proficiency with Microsoft Office office(Word, Excel, Outlook) and adp payroll. Familiarity with QuickBooks or other accounting software for expense tracking and invoicing is preferred. Experience managing multi-line phone systems and front desk operations in a fast-paced environment. Bilingual abilities are a plus to communicate with diverse clients and union members effectively. Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
