Office Administrator - Automotive Dealership Position Summary We are seeking a detail-oriented, organized, and experienced Office Administrator to join our Business Office team. This position plays an important role in supporting the day-to-day administrative and accounting functions of the dealership. The ideal candidate will have automotive dealership experience , a strong understanding of accounting principles, and experience working with vehicle contracts and transaction documentation. This position requires someone who is highly organized, comfortable working with detailed information, and able to follow up and obtain the information needed to keep transactions moving forward. Responsibilities Provide administrative and accounting support within the Business Office. Assist with vehicle contracts, transaction documentation, titles, registrations, and DMV-related processes . Review documentation for accuracy, completeness, and required information. Work closely with the sales team to ensure required information and documentation is received and processed timely. Follow up on missing or incomplete information and see issues through to resolution. Assist with accounts payable, accounts receivable, reconciliations, and general accounting functions . Assist with month-end accounting and reporting activities. Research and resolve discrepancies in financial and operational records. Maintain accurate, organized, and confidential records. Prepare reports and provide administrative support to management as needed. Communicate professionally with employees, management, customers, and vendors. Support the Business Office with various projects and responsibilities as needed. Qualifications Automotive dealership experience strongly preferred. Experience with vehicle contracts and dealership transaction paperwork highly desirable. Familiarity with DMV, title, and registration processes preferred. Strong understanding of general accounting, accounts payable, accounts receivable, and reconciliations . Accounting degree or formal accounting education preferred. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Strong follow-through and ability to meet deadlines. Ability to work independently and manage multiple priorities. Strong communication and interpersonal skills. Comfortable asking questions and tracking down information when something is missing or incomplete. Proficiency with Microsoft Office, particularly Excel. Experience with CDK, Reynolds & Reynolds, or another dealership management system is a plus. The Ideal Candidate The ideal candidate is someone who is organized, dependable, proactive, and detail-oriented . You know how to work with numbers and documentation, understand the importance of accuracy, and don't let things sit unresolved. You are comfortable working with the sales team, asking for information when needed, following up when something is missing, and taking ownership of getting the job completed. A strong understanding of both dealership operations and accounting will be highly valued in this position.
Pay:
$28.00 - $30.00 per hour Expected hours: 40.0 per week
