About Us Bay Construction (Bay Construction 1 Inc.) is a premier general contracting company serving the Santa Barbara, Goleta, and Ventura areas. We specialize in high-quality residential remodels, additions, and custom builds. We take pride in our craftsmanship and our commitment to seamless project execution from the first estimate to the final finish. The Role & Responsibilities We are seeking a highly organized, detail-oriented Office Manager to keep our back-office operations running smoothly. As the backbone of our administrative processes, you will be responsible for the following:
- Manage accounts payable and receivable utilizing QuickBooks.
- Process payroll through Paychex Flex.
- Prepare, send, and track client contracts, change orders, and subcontractor agreements
- Assist with pulling city and county permits (including HCD and other municipal permits), gathering subcontractor bids, and tracking material orders.
- Serve as the primary point of contact for client inquiries, manage incoming calls/emails, maintain organized digital and physical filing systems, and keep the office stocked with necessary supplies. Qualifications
- Previous administrative or office management experience.
- Hands-on, proficient experience with QuickBooks and Google Workspace.
- Strong understanding of billing processes and permit applications. Understanding of construction industry terminology is a plus.
- Excellent written and verbal communication skills.
- High level of organization, with the ability to manage multiple projects and deadlines simultaneously.
- Local to the Santa Barbara/Ventura area.
