This position is ideal for someone who is comfortable working with numbers, managing documents, communicating professionally, and keeping office operations organized and up to date. The ideal candidate does not need to be an experienced bookkeeper or accountant. We already have accounting support in place and are looking for someone who can handle routine accounts payable and receivable, maintain tenant records, assist with bill payments, and provide general administrative support across our business operations. We are looking for someone who takes initiative, follows through on responsibilities, stays organized, and can be trusted to keep track of important details. Key Responsibilities Accounts Payable & Receivable Prepare monthly accounts payable and accounts receivable reports. Track incoming payments, outstanding balances, rent, and utility payments. Maintain accurate tenant ledgers and payment records. Monitor bills and due dates, help ensure payments are made on time, and flag discrepancies or unusual charges. Write and process checks through QuickBooks. Mail checks, prepare bank deposits, and maintain organized payment records. Assist with insurance payments, policy records, renewals, and related documentation. Office Administration Receive, sort, distribute, and manage incoming mail. Answer incoming phone calls and direct inquiries appropriately. Monitor company email accounts and bring important messages, requests, and deadlines to management's attention. Maintain organized physical and digital filing systems for company documents and records. Keep track of important paperwork, correspondence, and recurring administrative deadlines. Help maintain a clean, orderly, and professional front office. Assist management with general office tasks and other administrative responsibilities as needed. Organization & Recordkeeping Maintain and update Excel spreadsheets, tracking logs, and other administrative records. Keep tenant files, insurance documents, bills, receipts, and other company records accurate and accessible. Follow established procedures and ensure routine tasks are completed consistently. Identify missing information, overdue payments, upcoming deadlines, and other items requiring attention. Qualifications Strong organizational skills and attention to detail. Comfortable working with numbers, payments, records, and financial documents. Proficiency in Microsoft Excel, including maintaining spreadsheets and organizing data. Basic familiarity with QuickBooks or the ability to learn it quickly. Comfortable using email, computers, digital filing systems, and standard office equipment. Professional communication skills and a courteous telephone manner. Dependable, trustworthy, and able to handle confidential business information appropriately. Able to manage recurring responsibilities, prioritize tasks, and work independently once trained. Previous office administration, accounts payable/receivable, property management administration, or general clerical experience is helpful but not required. We are willing to train the right candidate. A bookkeeping or accounting background is not required. We are looking for practical office skills, reliability, good judgment, and someone who takes pride in keeping things organized.
What We're Looking For:
The right person is someone who enjoys keeping things in order, notices when something needs attention, and follows through without needing constant reminders. They should be comfortable balancing routine administrative tasks with occasional requests from management. We value dependability, accuracy, discretion, a positive attitude, and a willingness to learn. Compensation $20-$30 per hour, depending on relevant experience, qualifications, and demonstrated ability. How to Apply Please submit your resume and a brief introduction describing your office experience, familiarity with Excel and QuickBooks, and why you would be a good fit for this position.
