Job Description

Job Overview Oceanhills Church is looking for a warm, organized, and proactive Office Manager who will help our church, staff, facilities, and Sunday experiences run smoothly and effectively. We're looking for someone detail-oriented, collaborative, a clear communicator, and exceptional at follow-through —someone who brings order to complexity, anticipates needs, solves problems, and creates a welcoming environment where both people and ministry can thrive. Areas of Responsibility Organization Administrator Track and repurchase all office supplies as needed and within budget. Train staff on office equipment, software, CCB and other office resources. Keep office equipment in working order. Check inbound communication (phone and general emails) twice daily and forward messages with the appropriate staff. Check and distribute mail daily. Ensure the Master Google calendar is kept up to date and accurate with ministry and program related events and staff out of office/PTO. Take minutes at every staff meeting and distribute them to staff after the meeting. Follow up on any administrative action items. Follow up with staff to improve data in CCB, making sure attendance numbers are entered weekly for youth groups, Sunday mornings, life groups, etc. Work with management to use data for metrics, forms and people involvement. Support the Lead Pastor and Pastor of Adult Ministry in the areas of printing, scheduling, purchasing, form creation, etc. Create the slides for Sunday worship and the sermon with the Director of Worship and Creative Arts and the Marketing Director. Generate, print and deliver an effective and accurate weekly Sunday program using the information given by the Director of Marketing. Provide administrative support for organization wide events or projects. Provide support to the WOW/Event Coordinator on Sundays and at Events. Other duties as needed. Facility Coordinator Track and restock building supplies for the kitchen and bathrooms as needed and within budget. Distribute keys/fabs to staff and other approved facility users. Maintain an accurate list of who has access. Communicate expectations related to building usage to staff and follow up when expectations are unmet. Track all borrowed building resources and ensure they are returned. Ensure the building is set up and ready to make a good impression for all events, including evening classes, youth groups and special services. Maintain a basic understanding of all the building's internet, media, equipment and resources. Identify vendors and communicate with them as needed to ensure effective service. Coordinate the regular and special cleanings of the facility. Coordinate monthly and yearly inspections with the appropriate vendors. Regularly check that all doors, windows and gates are secure. Ensure fire extinguishers, exit signs and emergency lighting are functional. Maintain the entire exterior of the building so it looks inviting and professional. Coordinate with needed volunteers and vendors as needed. Troubleshoot anything faulty with the building and contact the correct person for repairs. Execute improvement projects within budget. Develop an approval process for rentals and usage for renters of the facility with the Controller. Execute the process for every rental. Other duties as needed. Vehicle Coordinator Troubleshoot anything faulty with the Oceanhills vehicles and follow up on repairs. Proactively maintain and clean vehicles. Ensure registration is up to date and that registration and insurance paperwork is in the vehicle.. Sunday Morning Support Create an inviting entrance at the Junior High, making sure it is cleared of trash and debris. Ensure the Connect Tent is set up and needed printed material/resources are available. Return dirty table cloths, extra materials, and food to the office and dealt with appropriately. Pay:
$25.00 - $35.00 per hour Expected hours: 20.0 - 25.0 per week
