Job Description

Position Summary We are seeking an experienced, highly organized, and self-directed OB/GYN Clinic Manager to oversee the daily operations of our Torrance location. This position requires a hands-on leader who takes ownership of clinic operations, follows through on assigned responsibilities without requiring repeated direction, and proactively identifies and resolves operational issues. The ideal candidate will have strong knowledge of medical office operations, clinical workflows, physician scheduling, employee management, patient access, referrals, billing processes, and quality standards. The Clinic Manager is responsible for maintaining efficient day-to-day operations while supporting physicians and staff, ensuring an excellent patient experience, and meeting established operational and performance expectations. Primary Responsibilities Clinic Operations & Leadership Direct and manage the daily operations of one - two OB/GYN clinic locations. Maintain consistent oversight of clinic workflows and proactively address operational issues before they affect physicians, employees, or patients. Ensure all clinic areas are appropriately staffed and coordinate coverage for absences, vacancies, leaves of absence, and unexpected staffing needs. Provide hands-on operational support and serve as backup when necessary. Maintain accurate employee schedules and ensure staffing changes, call-outs, approved time off, and coverage adjustments are reflected promptly. Monitor employee attendance, punctuality, overtime, productivity, and performance. Review and correct employee timecards timely and in accordance with established payroll deadlines. Ensure employees remain current with required licenses, certifications, competencies, and training. Conduct regular staff meetings to communicate expectations, operational updates, goals, priorities, and areas requiring improvement. Physician Schedule Management Maintain active oversight of physician clinic schedules and surgical schedules. Routinely review upcoming physician schedules for accuracy, efficiency, appropriate appointment types, scheduling errors, and potential operational conflicts. Ensure schedules are appropriately blocked for approved time off, surgeries, hospital responsibilities, and other approved physician obligations. Coordinate patient rescheduling promptly when physician schedule changes occur. Ensure schedule changes are completed timely to prevent additional patients from being scheduled into unavailable time. Never place administrative blocks over existing patient appointments without first appropriately addressing the scheduled patients. Identify recurring scheduling errors, correct them, and provide appropriate coaching and education to the responsible employee. Make recommendations to improve provider utilization, patient access, template efficiency, and overall clinic flow. Employee Management & Accountability Provide clear expectations, direction, coaching, and performance feedback to employees. Address performance concerns promptly rather than allowing issues to accumulate. Complete coaching, counseling, and other employee documentation timely and accurately. Recognize strong performance while holding employees accountable when expectations are not met. Promote teamwork, professionalism, accountability, and respectful communication. Effectively manage employee and physician concerns and escalate matters to the Director or Human Resources when appropriate. Mentor employees and identify opportunities for professional development and cross-training. Follow through on assigned projects and responsibilities within established deadlines and communicate proactively when barriers arise. Patient Access & Customer Service Promote exceptional customer service and a positive patient experience throughout the practice. Investigate and resolve patient complaints promptly and professionally. Monitor patient access, scheduling availability, and appointment utilization. Review next-available appointment data and identify opportunities to improve patient access. Monitor clinic voicemail activity and ensure messages are addressed timely. Ensure electronic medical record messages and other patient communications are appropriately monitored and completed. Referrals, Authorizations & Surgical Coordination Provide active oversight of referral and authorization workflows. Routinely monitor referral queues and ensure outstanding items are being worked and statuses remain current. Ensure surgery-related schedule changes are communicated and completed promptly. Timely submission of billing face sheets Identify aging or unresolved referrals and surgical orders and ensure appropriate follow-up occurs. Billing & Revenue Cycle Support Maintain working knowledge of major medical insurance plans, authorizations, referrals, and billing processes. Ensure billing and charge information is submitted timely and is not unnecessarily held or allowed to accumulate. Work collaboratively with the Billing Department to identify and resolve charge, coding, reconciliation, and revenue-cycle concerns. Review internal processes for handling cash, checks, deposits, and other financial transactions and ensure established controls are followed. Monitor operational processes that may affect reimbursement, revenue, or charge capture. Quality, Compliance & Performance Monitoring In conjunction with the Director, support implementation and maintenance of quality assurance and regulatory compliance programs. Ensure compliance with applicable OSHA, HIPAA, DHS, safety, infection prevention, and organizational requirements. Monitor established clinic performance measures and identify areas requiring corrective action. Prepare, review, and analyze operational reports, including productivity, patient volume, appointment availability, staffing, patient flow, revenue-related metrics, and other key performance indicators. Use data to identify trends, improve workflows, and develop action plans when performance falls below expectations. Maintain confidentiality and professionalism in all employee, physician, patient, and organizational matters. Administrative Responsibilities Monitor and respond to emails, electronic communications, and operational requests timely. Maintain adequate inventory of medical and office supplies while controlling unnecessary expenses. Manage wage and non-wage expenses within established budgetary guidelines. Complete invoices and other administrative responsibilities according to established deadlines. Maintain organized and accurate operational records. Complete additional projects, assignments, and responsibilities as directed. Ideal Candidate The successful candidate will possess: High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration, business, or a related field preferred. Minimum of 5 years of medical office management experience ; OB/GYN, women's health, or surgical specialty experience strongly preferred. Medical Assistant or other clinical experience preferred. Demonstrated experience managing multiple providers, employees, and complex clinic schedules. Proven ability to work effectively and professionally with physicians. Strong understanding of front-office, clinical, referral, authorization, surgical scheduling, and billing workflows. Experience supervising employees, providing coaching, addressing performance concerns, and maintaining accountability. Strong critical-thinking and problem-solving skills with the ability to independently identify issues and implement solutions. Excellent organizational and time-management skills with demonstrated ability to manage multiple priorities and deadlines. Strong verbal and written communication skills. Excellent interpersonal, leadership, and customer service skills. EMR proficiency; Cerner experience preferred. Proficiency with Microsoft Office, spreadsheets, reporting tools, and data analysis. Ability to remain flexible and adaptable in a fast-paced and changing healthcare environment. Ability to maintain professionalism and composure when managing competing priorities, difficult conversations, or operational challenges. Leadership Expectations This position requires an engaged and accountable manager , not simply an administrative supervisor. The Clinic Manager is expected to know what is occurring within their practices, maintain consistent oversight of their teams and physician schedules, and ensure routine responsibilities are completed accurately and on time. Successful managers in this role are proactive. They identify potential staffing, scheduling, patient access, referral, billing, and workflow concerns before they become larger operational problems. They communicate barriers early, follow assignments through completion, and do not rely on repeated reminders to complete routine management responsibilities. The manager must be comfortable balancing employee support with accountability and should foster a culture in which employees feel supported, expectations are clear, strong performance is recognized, and performance concerns are addressed promptly and consistently.
