This role serves as the operational backbone of the office, ensuring smooth daily business operations, front-office hospitality, organized file management, and routine facility safety support. Essential Duties & Responsibilities Office & General Administration Greet clients and visitors warmly, manage visitor logs, and maintain a tidy, welcoming environment in the reception area, conference rooms, and shared employee spaces (breakrooms, kitchen). Organize, update, and maintain physical office files, records, and archiving systems to ensure easy retrieval and compliance. Monitor, track, and order office and breakroom supplies; keep inventory well-organized across the building. Process, sort, and distribute incoming mail; assist with outgoing mailings and coordinate shipments with the logistics team. Maintain the internal asset log and coordinate documentation with Accounting for asset disposals. Safety & Light Compliance Support Perform basic monthly facility safety checks, including utilizing a step ladder to inspect overhead emergency exit signs and safety lighting. Assist management with maintaining basic safety records, training logs, and general administrative files. Continuously identify opportunities to streamline daily administrative processes and assist with other operational tasks as assigned. Qualifications 1+ years of experience in office administration, front-desk coordination, or general administrative support. Proficiency with Microsoft Office (Word, Excel, Outlook). Ability to climb and balance on a step ladder for routine safety checks (testing exit lights/signs), walk the facility, and occasionally lift or move items up to 30-50 lbs. High attention to detail, reliability, discretion with company records, and strong interpersonal communication skills. Valid driver's license and reliable personal vehicle for occasional local errands. Experience working within a Japanese corporate environment, or a strong appreciation for Japanese workplace culture, values, and business etiquette (preferred). Prior experience managing physical files, office inventory, or basic safety logs (preferred).
