Job Description
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and fosters a welcoming atmosphere for staff an patients. The ideal candidate will demonstrate exceptional organizational skills, proficiency with office management tools, and a proactive approach to problem-solving. As the backbone of our administrative team, you will oversee clerical functions, manage schedules, and support overall office efficiency to help our organization thrive. This position is FULL-TIME, but does not require you to be in the office. The practice is open 7 days a week and may require you to be "on call" if anyone calls off. This is a VERY busy practice with HIGH volume. There is opportunity for profit sharing as well! Responsibilities Oversee and manage daily operations of the optometry office Ensure efficient patient flow, scheduling and overall office productivity Maintain a professional, organized, and welcoming office environment Develop and implement office policies, procedures, and workflow improvements Coordinate communication between doctors, staff, and Costco management, as well as with contact reps Supervise front office staff/techs, as well as be liaison for Doctors with management Manage employee schedules and office coverage Assist with hiring and onboarding new employees Monitor employee performance and provide operational support as needed Coordinate payroll reporting, 401K, and PTO tracking Assist with daily financial reconciliation and reporting Prepare and maintain documentation for audits, insurance reviews, and regulatory compliance Manage inventory of contact lenses, office supplies, and diagnostic equipment Maintain daily cash log Maintain monthly sales and yearly trends Biweekly payroll which includes Calsavers and 401K wire transfers and allocation Renew annual business license Review and attest CAQH Arrange maintenance and servicing of office equipment and technology systems Evaluate, maintain and renew business insurance policies Manage workers' compensation insurance policies, including renewals, audits, and claim coordination Ensure the office is well supplies with clinical, optical, and administrative inventory by monitoring stock levels and coordinating timely ordering and restocking Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent phone etiquette skills along with experience managing multi-line phone systems Strong clerical skills including data entry, proofreading, filing, and document management Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment Previous experience in customer service or reception roles is advantageous Knowledge of calendar management tools and time management techniques to optimize scheduling efficiency Personal assistant experience or familiarity with medical office procedures is beneficial Join us as an Office Manager to lead our administrative team with energy and precision!
