Overview We are seeking a dynamic and detail-oriented Part-Time Office Administrator (Japanese Bilingual) to join our team. This role offers an exciting opportunity to support daily office operations, coordinate administrative tasks, and ensure smooth communication between Japanese-speaking clients and internal teams. The ideal candidate will be energized by multitasking, possess excellent organizational skills, and demonstrate proficiency in both English and Japanese. Duties Provide day-to-day administrative and office support to the CEO and corporate team. Manage schedule coordination, including calendar management, meeting arrangements, appointments, and business reservations as needed. Prepare, format, organize, and maintain business documents, reports, spreadsheets, and company records. Assist with preparing and compiling documents, reports, and other information requested by the company's headquarters in Japan. Support communication and coordination between the U.S. office and Japan headquarters, including Japanese-English document preparation and translation as needed. Track and coordinate renewals for business licenses, permits, registrations, corporate insurance, company vehicles, and other administrative records to ensure deadlines are met. Review and process employee expense reports and supporting documentation. Coordinate business travel arrangements, including flights, hotels, transportation, and restaurant reservations. Assist with planning and coordinating company meetings, business visitors, and corporate events. Support Japanese expatriate employees with general administrative matters, relocation-related arrangements, and office onboarding as needed. Coordinate with vendors and outside service providers, maintain related records, and follow up on routine administrative matters. Manage office supply inventory, place orders, coordinate maintenance requests, and help maintain an organized and functional office environment. Receive and organize incoming mail, packages, deliveries, and other office correspondence. Perform general data entry, filing, scanning, document management, and other administrative tasks as needed. Assist with special projects and other administrative responsibilities as assigned. Qualifications Bilingual proficiency in Japanese and English is required, with the ability to communicate effectively in both written and verbal business settings. Previous office experience or administrative background; experience in accounting or finance is highly preferred. Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace. Strong organizational and time-management skills, with the ability to prioritize multiple assignments and keep track of important deadlines. Strong attention to detail and accuracy when preparing documents, maintaining records, and handling administrative information. Comfortable coordinating schedules, travel arrangements, vendors, and other day-to-day administrative needs. Ability to work on-site at our Torrance office and maintain a consistent weekly work schedule of at least 20 hours per week, Monday through Friday .
Compensation & Benefits Compensation:
