Duties Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with courtesy and professionalism Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and specialized accounting tools like QuickBooks Coordinate calendar management and schedule appointments for team members and clients, ensuring optimal time utilization Provide exceptional customer service by responding promptly to inquiries via phone, email, or in person while maintaining excellent phone etiquette Oversee office supplies inventory, place orders as needed, and ensure the office environment is organized and welcoming Assist with clerical tasks including word processing, document preparation, and managing correspondence Stay organized: Maintain accurate customer records, document interactions and special instructions, and assist with general administrative tasks as needed. Requirements Proven experience in office administration or related roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry techniques Experience using QuickBooks or similar accounting software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong computer literacy and technical proficiency across various office tools and software applications Bilingual abilities are a plus to facilitate communication with diverse clients and team members Exceptional customer service skills coupled with professional phone etiquette and effective communication abilities Previous experience managing multi-line phone systems, calendar scheduling, filing systems, and front desk responsibilities Demonstrated ability to handle confidential information discreetly while maintaining a positive attitude Join us as an Office Administrator and become an essential part of a vibrant team dedicated to excellence!
