This is not simply an administrative assistant position. This person will play a key role in keeping our company organized, our books accurate, our employees supported, and our leadership team informed. We are looking for someone who is experienced, dependable, highly organized, detail-oriented, and comfortable taking ownership without needing constant direction. What You'll Be Responsible ForBookkeeping & Accounting Manage day-to-day bookkeeping for multiple automotive repair locations Maintain accurate books using QuickBooks Online Categorize and reconcile bank and credit card transactions Manage accounts payable and accounts receivable Enter, review, and pay vendor bills Reconcile bank, credit card, and other balance-sheet accounts Maintain vendor records and documentation Review transactions for accuracy and investigate discrepancies Assist with month-end closing and financial reporting Prepare information and documentation for our CPA and other financial professionals Maintain accurate records for multiple business locations Help ownership maintain a clear and accurate picture of company financial performance Payroll Process payroll accurately and on time using ADP Maintain employee payroll information Process new hires, terminations, raises, bonuses, deductions, and other payroll changes Track PTO and other employee payroll-related information Review payroll reports for accuracy Maintain organized payroll records and documentation Coordinate with ADP regarding payroll, tax, and employee issues when necessary HR & Employee Administration Manage employee onboarding and offboarding paperwork Maintain organized and confidential employee records Assist with benefits administration Track PTO and employee documentation Assist with workers' compensation documentation and claims administration Maintain company policies, forms, and employee records Help ensure required employment documentation stays current Assist managers with routine HR administrative questions Coordinate with outside HR, payroll, insurance, and benefits providers as necessary Office & Business Administration Maintain and organize company files using Google Drive and Google Workspace Create and maintain organized digital filing systems across multiple locations Manage important company documents, contracts, insurance information, licenses, and vendor records Communicate with shop managers to collect paperwork and financial information Help ensure deadlines, renewals, bills, and administrative requirements aren't missed Assist ownership with reporting, special projects, and administrative needs Communicate with vendors, accountants, insurance providers, employees, and other business partners Help create and improve systems and procedures as the company continues to grow
What We're Looking For Required:
Strong bookkeeping experience Strong working knowledge of QuickBooks Online Hands-on experience processing payroll using ADP Strong knowledge of Google Drive and Google Workspace Experience with accounts payable, accounts receivable, and bank reconciliations Excellent organizational and time-management skills Strong attention to detail and accuracy Ability to handle confidential financial and employee information Strong written and verbal communication skills Ability to work independently and take ownership of responsibilities Comfortable managing multiple companies, locations, accounts, and priorities
Preferred:
Previous office management experience HR administration experience Experience supporting a multi-location business Automotive repair or automotive industry experience Experience working directly with a CPA or outside accounting firm Experience with benefits and workers' compensation administration Compensation & Schedule $60,000-$70,000 per year, depending on experience Full-time Monday through Friday No regular weekends The Person We're Looking For We want someone who owns the back office. You are the person who knows whether payroll is complete, the books are reconciled, bills are paid, employee paperwork is handled, documents are where they belong, and deadlines aren't being missed. You don't wait for someone to tell you every task that needs to be completed. You see something that needs attention and take care of it.
