This role offers an exciting opportunity to be the backbone of our administrative functions, manage complex schedules, coordinate projects, and facilitate seamless communication across departments. The ideal candidate will demonstrate exceptional organizational skills and possess a proactive attitude to handle diverse responsibilities with professionalism and enthusiasm.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative/Traffic duties Professionally answer the phone and direct all calls, and voicemails Professionally greet and direct all visitors Assist promotions team with prizes and giveaways - handing/mailing out to winners Track check requests for prizes, expenses, etc. Manage conference room/visitor and band in studio calendars Mail handling - sort and give to appropriate people Prepare bank deposit for Business Manager; deposit in her absence, and run credit card payments in her absence Balance petty cash, copy receipts and create invoice to submit to corporate Ensure that lobby and kitchen area is kept neat and clean at all times Maintain cleaning, office, and promotional supplies Point of contact for most vendors, (cleaning service, repair services, etc.) Complete two to four commercial logs daily, with assistance where needed Input new national orders in WideOrbit and traffic in vCreative Assist General Manager with National rate and avails requests in the Katz system Assist sales with input of new local orders in WideOrbit and traffic in vCreative when needed Assist in training new sales team members in WideOrbit and vCreative Assist GM and sales department with WideOrbit and vCreative questions Add new advertiser/agencies to WideOrbit Reconcile Digital logs weekly Reconcile traffic/programming logs Make format/clock changes in WideOrbit Log live remote breaks in WideOrbit Schedule traffic from vCreative into WideOrbit, working closely with sales to ensure all spots run as requested Send spot times, invoices, etc. when requested by national reps Set up WO Airtimes to send spot times regularly to clients who request them weekly Completed Notary Public training as backup Attend bi-weekly promotions meetings for both stations Submit the RAB CRM report weekly Program new codes into Alarm System, delete old codes, train new users Complete affidavits for all barter Experience Proven experience working in customer service Strong background in administrative support is highly desirable. Strong organizational skills with the ability to multitask effectively while maintaining attention to detail. Excellent written and verbal communication skills coupled with professional phone etiquette. Familiarity with office management procedures such as filing systems, data entry, customer service protocols, and handling confidential information. Previous media experience on any level is a plus.
