We're Not Looking for a Traditional Office Administrator We're looking for the person who is usually three steps ahead of everyone else . You're exceptionally organized, energetic, resourceful, technologically capable, and very good at figuring things out. You can manage an executive calendar, coordinate a project, improve an inefficient system, draft a polished business communication, learn a new piece of software, and somehow still remember that an important renewal is due next Thursday. You don't wait around for someone to tell you what to do next. You notice what needs attention, take ownership, and make things happen. Level Engineering is a growing, entrepreneurial company, and we're looking for an Executive Office Administrator who wants considerably more responsibility and variety than a traditional administrative position provides. This role works closely with company leadership and touches nearly every part of the organization. You'll help keep executives organized, improve office systems, coordinate people and priorities, manage important administrative details, and take ownership of the countless moving pieces that keep a growing company running well. If you like routine, predictability, and clearly defined tasks that rarely change, this probably isn't your job. If your natural response to a challenge is "I can figure that out," keep reading.
WHAT YOU'LL OWN
Executive Support & Coordination You'll work directly with company leadership to help them stay organized, focused, and effective.
You may:
Manage executive calendars, meetings, appointments, and scheduling Coordinate schedules involving multiple offices, employees, vendors, and outside professionals Track leadership priorities, commitments, deadlines, and follow-up items Draft and format emails, letters, reports, presentations, and other business communications Coordinate travel, reservations, events, and executive logistics Prepare documents for review, signature, distribution, and filing Follow up with employees, vendors, clients, and outside professionals to keep projects moving Handle confidential company, financial, and personnel information with excellent judgment and discretion Office Operations You'll be one of the central operational people in our HQ office.
Responsibilities may include:
Organizing and maintaining company records and digital filing systems Managing contracts, licenses, certifications, insurance documents, and other important business records Tracking renewals, deadlines, recurring requirements, and administrative obligations Creating and improving forms, templates, checklists, and administrative processes Coordinating office vendors, supplies, equipment, maintenance, and services Serving as a reliable point of coordination between leadership, accounting, operations, marketing, and project teams Making sure important details don't quietly disappear into the abyss

Not everything here will fit neatly inside a job description. There will be projects that begin with: "Can you figure out how we should…" And we genuinely want someone who enjoys that sentence. Maybe it's researching a new software platform. Maybe it's organizing a neglected company process. Maybe it's creating a tracking system, finding a better vendor, fixing an administrative bottleneck, or taking a half-formed idea and turning it into something useful. You will have the opportunity to own projects from problem to solution , not simply complete assigned pieces of them.

You like responsibility. You would rather have an interesting day than an identical one.
TECHNOLOGY SHOULD BE ONE OF YOUR STRENGTHS
We are a technology-forward company, and strong digital competency is essential for this position. You should be highly comfortable with modern business technology and genuinely interested in learning new tools. You don't need to know every system we use on Day One. You do need to be the kind of person who can open unfamiliar software and think: "Give me a little while. I'll figure it out." Strong experience with Office + Google Workspace is expected. Experience with project-management platforms, CRMs, AI tools, workflow automation, cloud file systems especially valuable.
EXPERIENCE & QUALIFICATIONS
Required 4+ years of experience in executive support, office administration, operations, or a similarly high-responsibility administrative role Exceptional organizational and time-management skills Excellent written communication and proofreading ability Strong technology skills and ability to learn new software quickly Ability to manage competing priorities without losing track of details Confidence working independently and making reasonable decisions Strong professional judgment and discretion A demonstrated habit of following things through to completion Especially Valuable Previous experience supporting an executive, or senior leadership team Experience working in a fast-growing or entrepreneurial company Engineering, architecture, construction, professional-services, or project-driven business experience Experience managing contracts, licenses, insurance records, compliance documents, or business renewals Experience with workflow automation or AI productivity tools Project-management or CRM software experience Notary certification, or willingness to obtain one
