Job Description

An Office Manager ensures smooth daily operations by overseeing administrative functions, managing office staff, maintaining supplies, and coordinating logistics. They handle tasks such as scheduling, vendor management, and implementing company policies, providing Human Resources support to employees, and serving as the central point of contact for office activities. :
Administrative Support:
Manage daily office operations, greet visitors, answer calls, sort mail, and prepare documents.
Office Operations:
Provide support to sales engineers, provide basic accounting functions including invoice management. Ensure quality shipping process, maintain inventory of supplies, order new items as needed, and coordinate repairs and maintenance for office equipment.
Facility Maintenance:
Ensure the facility is maintained professionally and coordinate repairs and maintenance as needed.
Financial & Budget Management:
Assist with managing the budget, managing petty cash, processing invoices, and assisting with payroll processing. As appropriate, provide collection support for outstanding customer invoices.
Staff Coordination & HR:
Supervise administrative staff, assist with onboarding new employees, and enforce company policies. Serve as the primary Human Resources contact for the company.
Logistics & Scheduling:
Organize meetings, appointments, travel arrangements, and in-house or off-site events.
Vendor Relations:
Manage contracts, relationships, and negotiations with service providers.
Organizational Skills:
Exceptional ability to manage multiple projects, prioritize tasks, and maintain an orderly office environment.
Communication:
Strong verbal and written communication skills to interact with staff, customers, and vendors.
Technical Proficiency:
Proficiency in Microsoft Office (Word, Excel, Outlook), QuickBooks, and experience with scheduling tools, databases, or CRM software.
Leadership:
Ability to lead by example, motivate staff, and work autonomously.
Problem-Solving:
Proactive approach to identifying issues and implementing solutions quickly. The ability to read and interpret engineering drawings is preferred.
Commitment:
40-45 hours per week is typical.
Salary Range:
$55,000 - $68,000
Benefits:
Health and dental insurance, vacation pay, holiday pay, sick pay and retirement plan.
Pay:
$55,000.00 - $68,000.00 per year
