Non-Exempt Position Summary We are seeking an organized, dependable, and patient-focused Office Manager to oversee daily front office operations for a nonprofit dental clinic. This role will supervise front office staff, coordinate scheduling and patient flow, support administrative processes, and work closely with the Executive Director and Dental Director. The ideal candidate has experience in dental, healthcare, nonprofit, or office management and is comfortable working in a fast-paced environment. Key Responsibilities
  • Oversee daily front office operations and workflow.
  • Supervise, train, and support front office staff.
  • Manage patient scheduling, cancellations, no-shows, and patient flow.
  • Provide excellent customer service and assist with patient concerns.
  • Maintain accurate patient records and ensure HIPAA compliance.
  • Support billing, payments, invoices, and other administrative processes.
  • Monitor staff schedules, attendance, and timekeeping.
  • Assist with hiring, onboarding, and employee training.
  • Coordinate dental and non-clinical volunteers.
  • Monitor office supplies, equipment, and facility needs.
  • Maintain accurate reports and operational data.
  • Support Dentrix and other office/practice management systems.
  • Assist leadership with special projects and operational initiatives.
  • Maintain a professional, welcoming, and organized office environment. Qualifications
  • High school diploma or equivalent required; college degree preferred.
  • 3+ years of administrative or office management experience, preferably in healthcare, dental, nonprofit, or community health.
  • Previous supervisory experience preferred.
  • Experience with scheduling, customer service, and staff coordination.
  • Strong computer and organizational skills.
  • Dentrix or dental practice management experience preferred.
  • Knowledge of HIPAA and OSHA requirements preferred.
  • Excellent communication and problem-solving skills.
  • Ability to maintain confidentiality and manage multiple priorities.
  • Bilingual English/Spanish is a plus.
  • Commitment to serving underserved patients. Working Conditions
  • Full-time, Monday-Friday, 8:00 AM-5:00 PM
  • Must be able to stand, walk, bend, and lift up to 30 lbs.
