Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! Responsibilities Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks using tools like QuickBooks, Microsoft Office, and Google Workspace to update records accurately Support calendar management by scheduling appointments, meetings, and coordinating events for staff and executives Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs Assist with basic bookkeeping tasks such as invoicing, expense tracking, and maintaining financial records Proofread correspondence, reports, and documents to ensure clarity and accuracy before distribution Support office management activities including supply inventory control, equipment maintenance coordination, and space organization Demonstrate strong phone etiquette while managing complex multi-line phone systems with professionalism Qualifications Proven experience in office administration or clerical roles with a solid understanding of office procedures Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or similar accounting software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Strong computer literacy including data entry, filing systems, and document proofreading Exceptional customer service skills with a friendly demeanor and professional phone etiquette Bilingual abilities are a plus to support diverse client interactions Previous experience as a receptionist or personal assistant is advantageous Knowledge of medical or dental receptionist duties is beneficial but not required Ability to manage time efficiently while handling multiple responsibilities simultaneously Join us as an Office Administrator and be part of a vibrant team dedicated to excellence!
