Job Description

Position overview: We are looking for a part-time reliable, organized, and client-focused Office Administrator to join our land surveying team in For Pierce. This position is suited for someone who thrives in a professional office environment, takes pride in keeping things running smoothly, and communicates well with both clients and colleagues. You will be the first voice clients hear and the first face they see — and a key part of keeping our office, our field crews, and our project team connected and on track.
Key Responsibilities:
Client & Office Communications Answer incoming phone calls, greet clients professionally, and direct calls and inquiries to the appropriate team member Respond to client emails promptly and professionally, providing status updates, general information, and routing detailed requests to Project Managers Serve as a friendly, knowledgeable first point of contact for walk-in clients and visitors Maintain professional and courteous communication with clients, vendors, field crews, and office staff at all times Administrative & Office Support Support office staff with a wide range of administrative and clerical tasks, including document preparation, printing, scanning, and filing Organize and maintain digital and physical project files, ensuring records are accurate, current, and easy to retrieve Perform data entry with accuracy and consistency across project tracking systems and office databases Assist with scheduling and coordinating appointments, crew assignments, and project-related logistics Prepare and organize job paperwork and field packages to support project and crew coordination Help maintain a clean, organized, and efficient office environment Provide general office support wherever needed, stepping in to assist across departments with a flexible, team-first approach
Qualifications & Skills:
3+ years of office administration, receptionist, or administrative support experience in a professional setting Fluency in Spanish (Asset) Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Strong organizational skills with the ability to prioritize tasks, manage multiple responsibilities, and follow through consistently Professional written and verbal communication skills, including polished phone etiquette and client-facing presence Experience in surveying title reviews and FEMA elevation certificates (Asset) Accurate and detail-oriented approach to data entry, document management, and general administrative tasks Comfortable working in a fast-paced environment with shifting priorities and time-sensitive requests Positive, team-oriented attitude and genuine willingness to support colleagues across departments Pay based on experience We look forward to welcoming a motivated and detail-oriented individual to our office.
