Job Description

Florida based company looking for a strong Office Manager to join our team. ACME Industrial Inc. is a well-established company providing industrial, marine repair and maintenance services to many Commercial, Federal, State and local customers. Position Summary Responsible for managing office operations and increasing management's effectiveness by recruiting, selecting, orienting, training, coaching, counseling, and disciplining managers; communicating values, strategies, and objectives; assigning accountabilities; planning, monitoring, and appraising job results; developing incentives; developing a climate for offering information and opinions; providing educational opportunities. Obtains profit contribution by managing staff; establishes and accomplishes business objectives. Ensures that the goals and objectives of senior management are attained for general administrative, functions. Critical to these responsibilities are providing senior management with administrative and accurate financial information on which to base business decisions, provide customer support and manage the office environment. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling Improve employee and client retention rates through active communication and problem-solving efforts Continue education in management, organization and team-building skills Manage employee schedules and troubleshoot scheduling conflicts as they arise Order supplies and equipment as needed Establish team atmosphere through leadership and employee development Manages administrative duties/functions associated with assigned Federal, State and City contracts Monitors project performance; ensures that projects meet or exceed gross profit goals of the company; assists project managers and field management in determining corrective actions in the event of shortfalls to profit objectives. Ensures that project managers are adhering to Acme Industrial project management procedures and reporting requirements Ensures that project billings are submitted in a timely manner. Review billing collection progress and intercede as necessary to optimize cash flow. Ensures that accurate labor hour and production quantities are being reported from the field; assists field management in improving the processing and accuracy of the information. Assists and coaches field management in ways to improve project performance, efficiency and optimize profit opportunities. Reviews monthly financial statements compared to budget and implements corrective actions to ensure that Acme Industrial meets or exceeds budgeted profit. Reviews and updates company insurance and safety documents Ensures that the company's administrative department is adequately staffed. Conducts evaluations of all personnel under his/her supervision at least every 6 months and completes the appropriate performance rating forms. Manage office functions and personnel to achieve short and long-term goals set by the Managers, and President Minimum Qualifications (Knowledge, Skills, and Abilities) Proficiency in Microsoft Office suite and QuickBooks Strong will and ability to work independently Experience with scheduling, budgeting and payroll Supply management experience Excellent written and verbal communication skills Comfort with fast-paced environment Highly organized, detail-oriented and comfortable managing multiple priorities in a fast-paced environment. Demonstrated ability to manage personnel, finances and all aspects of a small to medium size construction, repair, or service related business operation Demonstrated knowledge and experience with HR procedures Demonstrated knowledge and experience with labor unions, CBAs, PLA and Labor Law 220 contracts Very organized and ability to meet attendance schedule with dependability and consistency Ability to communicate orally and in writing Ability to understand, follow and transmit written and oral instructions
Pay:
$45,000.00 - $55,000.00 per year
