What You'll Do The Office Manager is responsible for the day-to-day administrative and operational management of an assigned Florida Community Health Partners location. This position ensures the office operates efficiently, staff are appropriately supported and scheduled, established workflows and policies are consistently followed, and patients receive professional and timely service. The Office Manager provides direct supervision and support to assigned administrative and clinical support staff and serves as the primary operational point of contact for the location. The role works closely with the Director of Operations, clinical leadership, providers, and other departments to address staffing, workflow, compliance, patient experience, and operational needs. This is a full-time, in-person position and may require occasional travel to other FCHP locations, testing sites, outreach events, or partner locations. Office Operations & Patient Flow Oversee daily office operations and ensure efficient, organized, and consistent workflows. Coordinate staff schedules, coverage, daily assignments, and operational priorities. Monitor patient flow, registration, scheduling, documentation, referrals, follow-up activities, and other administrative processes. Ensure providers and clinical teams have the staffing, supplies, equipment, and operational support necessary for patient care. Monitor daily workload and address operational barriers that may impact patient experience or service delivery. Implement established organizational policies, procedures, workflows, and operational standards at the site level. Identify opportunities to improve office efficiency, communication, patient experience, and workflow consistency. Escalate significant operational, clinical, staffing, or patient-care concerns to the appropriate leadership. Staff Leadership & Development Provide direct supervision and day-to-day leadership to assigned administrative and clinical support staff. Coordinate onboarding and site-specific orientation for new employees. Ensure employees are appropriately trained on workflows, systems, documentation requirements, policies, and job responsibilities. Establish clear expectations regarding attendance, professionalism, productivity, teamwork, communication, and performance. Provide ongoing coaching, feedback, and support to employees. Conduct performance evaluations and participate in corrective action processes in collaboration with Human Resources and the Director of Operations. Address employee concerns and workplace issues promptly and escalate significant concerns when appropriate. Promote accountability, teamwork, professional communication, and a positive patient-focused work environment. Identify training and development needs and coordinate additional support when necessary. Compliance, Quality & Administrative Management Ensure employees consistently follow established organizational policies, clinical workflows, documentation standards, and compliance requirements. Maintain site readiness for internal audits, regulatory reviews, inspections, and leadership visits. Support compliance with HIPAA, OSHA, infection-control, safety, licensing, and other applicable healthcare requirements. Maintain required site records, logs, documentation, and operational files. Support applicable 340B, pharmacy, laboratory, testing, and inventory processes according to established organizational procedures. Monitor completion of assigned corrective actions and communicate outstanding concerns to the Director of Operations. Support incident reporting and ensure operational or patient-safety concerns are appropriately documented and escalated. Coordinate with billing, Finance, Human Resources, Compliance, and other departments as necessary to resolve site-level issues. Scheduling, Supplies & Resource Coordination Coordinate employee schedules and ensure appropriate coverage based on patient volume and operational needs. Monitor office and clinical supplies, testing materials, equipment, and inventory. Ensure necessary supplies are ordered, maintained, stored, and available to support daily operations. Coordinate with approved vendors and internal departments regarding equipment, supplies, facilities, and service needs. Monitor appropriate use of organizational resources and identify unnecessary expenses or operational inefficiencies. Communicate facility maintenance, technology, equipment, and other operational concerns to the appropriate department. Patient Experience & Service Standards Promote a professional, respectful, and patient-centered environment. Serve as a point of escalation for patient concerns related to scheduling, service, communication, or office operations. Work collaboratively with providers and clinical staff to resolve patient-service concerns. Monitor patient experience and identify recurring concerns or opportunities for improvement. Ensure employees maintain appropriate professionalism, confidentiality, communication, and customer-service standards. Maintain professional relationships with patients, vendors, partners, and other individuals interacting with the organization. Outreach & Site Support Support operational planning for testing events, outreach initiatives, and community-based healthcare activities associated with the assigned location. Coordinate staffing, supplies, equipment, and other logistical needs for assigned outreach activities. Collaborate with internal teams, community organizations, vendors, and external partners as appropriate. Travel to other FCHP locations or service sites when necessary to support organizational operations, training, meetings, or special projects. Required Qualifications Minimum of 3-5 years of healthcare office management, medical office administration, or healthcare operations experience . Previous experience supervising or leading employees in a healthcare environment. Strong understanding of medical office workflows, patient scheduling, documentation, and healthcare operations. Experience with staff scheduling, performance management, training, and day-to-day team leadership. Working knowledge of HIPAA and healthcare compliance requirements. Proficiency with electronic health record (EHR/EMR) systems, scheduling systems, Microsoft Office, and other healthcare technology. Strong organizational, leadership, communication, and problem-solving skills. Ability to manage competing priorities and respond effectively to changing operational needs. Valid driver's license and ability to travel locally as required. Preferred Qualifications Associate or bachelor's degree in Healthcare Administration, Business Administration, Public Health, or a related field. Experience managing a multi-provider medical practice or clinical office. Experience with primary care, infectious disease, HIV/STI/Hepatitis services, or community health. Experience supporting laboratory, pharmacy, testing, or 340B-related workflows. Familiarity with AHCA requirements and healthcare audit readiness. Experience with outreach, mobile healthcare, or community-based programs. Bilingual English/Spanish preferred.
Pay:
$60,000.00 - $70,000.00 per year
