The Role The Business Office Manager is a key member of our community leadership team and supports the day-to-day financial, administrative, and human resources functions of the community. This position requires someone who can maintain accuracy, confidentiality, and accountability while also contributing to a warm, positive, and family-oriented environment. The right person will be comfortable working with numbers and deadlines but equally comfortable sitting with a family member, helping an employee understand a payroll question, welcoming a new team member, or stepping in wherever the community needs support. Key Responsibilities Manage resident billing, accounts receivable, collections, deposits, and account reconciliation. Maintain accurate resident financial records and communicate professionally and compassionately with residents, responsible parties, and families regarding account questions. Support accounts payable processes, invoices, purchase documentation, and vendor records. Coordinate payroll-related processes, timekeeping, employee changes, and required documentation. Maintain employee personnel files and ensure records remain accurate, organized, confidential, and compliant. Assist with onboarding and orientation of new team members, helping ensure every new employee feels welcomed into the community. Support recruitment, employment documentation, benefits administration, workers' compensation, and other HR-related processes as assigned. Maintain resident admission and business-office documentation in coordination with community leadership. Monitor aging reports and proactively address outstanding balances while maintaining professionalism and sensitivity to individual family circumstances. Assist the Executive Director and leadership team with reports, audits, budgets, financial tracking, and operational needs. Maintain confidentiality regarding resident, employee, financial, and organizational information. Participate as an active member of the leadership team and support community events, employee recognition, resident activities, and special projects when needed. Help create and maintain a workplace culture where employees feel heard, respected, appreciated, and supported. Previous experience with business-office operations, billing, accounts receivable, payroll, human resources, or administrative management is highly desirable. Candidates should also possess strong computer skills, excellent communication and customer-service abilities, good judgment, and the ability to maintain confidentiality.
