Job Description

Job Summary Element Pointe is a family office advisory firm providing investment management, financial advisory, and family office services to high-net-worth families. The Receptionist/Office Manager serves as the first point of contact for clients, guests, and vendors, and is responsible for the day-to-day administrative operation of the office. This individual plays a critical role in creating a polished, professional, and welcoming environment consistent with the firm's standing in the financial services industry, while exercising sound judgment, discretion, and confidentiality in all client and firm matters. Front Desk & Client Relations Serve as the first point of contact for the firm, greeting clients, guests, and vendors with professionalism. Answer, screen, and route incoming phone calls; manage general email and mail correspondence. Maintain the reception area, conference rooms, and common areas in a clean, organized, and presentable condition at all times. Schedule and coordinate conference room usage, client meetings, and appointments for Partners and senior staff. Office Management Maintain office and kitchen/café supply inventory; place and track orders within budget. Coordinate with building management, property security, and outside vendors (cleaning, maintenance, IT, catering) to ensure smooth daily operations. Oversee maintenance and servicing of office equipment (printers, copiers, phone systems). Coordinate firm events, team lunches, holiday gatherings, and client appreciation functions. Manage incoming/outgoing mail, packages, and courier deliveries. Assist with onboarding logistics for new hires (workspace setup, supplies, building access). Administrative & Executive Support Provide calendar management and scheduling support for Partners and senior professionals. Assist with travel arrangements and itineraries as needed. Support the preparation of client-facing materials, correspondence, and presentations. Maintain organized digital filing systems in accordance with firm recordkeeping policies. Assist with basic bookkeeping support tasks (expense tracking, invoice routing) as directed. Support special projects and ad hoc tasks assigned by Partners or the Operations team. Confidentiality & Professionalism Exercise tact, discretion, and sound judgment when handling sensitive client and firm information. Maintain a composed, professional demeanor under time pressure and competing priorities. Uphold the firm's brand and client-service standards in every interaction. Qualifications 2+ years of experience as a receptionist, office manager, or administrative professional, ideally within a financial services, trust, legal, or professional services environment. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); comfort learning new software tools. Excellent verbal and written communication skills. Strong organizational skills with the ability to manage multiple priorities and deadlines. High degree of professionalism, reliability, and attention to detail. Demonstrated ability to handle confidential information with discretion. Bachelor's degree preferred but not required; equivalent professional experience will be considered. Work Environment This is an in-office, full-time position with standard business hours. Professional office attire and a polished, client-ready presentation are expected. Occasional flexibility may be required to support client events or firm functions outside standard hours.
Pay:
$65,000.00 - $72,000.00 per year
