The Office admin is responsible for overseeing daily office operations, providing administrative support, coordinating business processes, and ensuring accurate documentation and reporting across the organization. This role serves as a central point of coordination for office activities, customer and vendor communications, invoicing administration, and inventory record review. The Office admin helps maintain efficient workflows, supports financial and operational accuracy, and contributes to a productive and organized work environment. Business Central software experience is a plus. Essential Duties and Responsibilities Office Administration Manage day-to-day office operations and administrative functions. Maintain office supplies, equipment, and vendor relationships. Coordinate incoming calls, correspondence, and visitor interactions. Organize and maintain company records, files, and documentation. Support management with scheduling, reporting, and special projects. Billing and Customer Support Prepare and process customer invoices in a timely and accurate manner. Generate and issue credit memos as authorized. Maintain customer account documentation and billing records. Respond to customer inquiries regarding invoices, account balances, and related matters. Coordinate with accounting to ensure billing accuracy and timely resolution of discrepancies. Inventory Administration Review inventory transactions entered by the Inventory Clerk for completeness and accuracy. Monitor inventory reports and identify discrepancies, unusual variances, or data entry issues. Communicate inventory concerns to operations and management for resolution. Assist in maintaining accurate inventory records and supporting periodic inventory audits. Prepare inventory-related reports and summaries as requested. Reporting and Coordination Compile operational, inventory, and administrative reports. Track key office metrics and assist with data analysis as needed. Coordinate communication between departments to ensure smooth workflow and information sharing. Support compliance with company policies and procedures. General Support Maintain confidentiality of company and employee information. Assist with process improvement initiatives to increase efficiency and accuracy. Perform other duties and special projects as assigned. Qualifications Education and Experience Associate degree preferred; equivalent experience will be considered. Minimum 3-5 years of office administration, customer service, accounting support, or related experience. Experience with invoicing, billing administration, and inventory reporting preferred. Ability to manage multiple priorities in a fast-paced environment. Experience with ERP, accounting, or inventory management systems preferred. Physical Requirements and Work Environment This position primarily operates in an office environment with regular interaction across departments and external customers. This position requires prolonged periods of sitting and working on a computer. Ability to communicate effectively in person, by phone and electronically. Occasional standing, walking and lifting 15 pounds.
