As the backbone of our administrative operations, you will manage a variety of tasks that keep our office running efficiently, foster a welcoming environment, and support overall organizational success. Responsibilities Greet visitors and manage front desk operations with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Maintain organized filing systems, data entry, and record keeping using tools like Microsoft Office and Google Workspace Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives Handle clerical duties such as proofreading documents, preparing correspondence, and managing office supplies Support bookkeeping activities using QuickBooks or similar accounting software as needed Provide exceptional customer service by assisting clients, vendors, and internal teams efficiently and courteously Oversee office management tasks including filing, inventory control, and maintaining a clean, organized workspace Utilize strong organizational skills to prioritize tasks effectively and ensure deadlines are met with precision Skills Proven experience in office management or administrative roles with strong clerical expertise Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent computer literacy with data entry, typing speed, and document proofreading skills Experience with QuickBooks or other bookkeeping software is highly desirable Strong organizational skills with the ability to multitask in a fast-paced environment Exceptional phone etiquette and experience managing multi-line phone systems Bilingual abilities are a plus to serve diverse client needs effectively Knowledge of medical or dental receptionist duties is advantageous but not required Personal assistant or medical receptionist experience can enhance your fit for this role Ability to handle confidential information discreetly while maintaining professionalism Join us as an Office Administrator to be at the heart of our organization's success!
