full-time About the Company Our client is a licensed Commercial General Contractor based in Orlando. The company has been operating since 1976 and works across commercial construction including, ground-up commercial construction, warehouses, pre-engineered metal buildings, airport hangars, and turnkey commercial projects. About the Role We are hiring an Office Manager to be right-hand role to the General Contractor. The Office Manager will serve as the operational backbone of the office - keeping projects moving, vendors accountable, and documentation airtight. Candidates with hands-on experience in construction who are fluent in industry terminology (submittals, Notices to Proceed, permit workflows) will thrive in this position.

Responsibilities:

Coordinate with county and municipal offices to submit, track, and close out building permits Communicate with material suppliers, obtain quotes, and manage delivery schedules Identify and resolve invoice or delivery discrepancies in a timely manner Monitor project budgets, track invoices, and process purchase orders Maintain organized and accurate records for contracts, RFIs, change orders, submittals, and lien waivers Manage the GC's schedule, coordinate meetings, and draft professional correspondence Oversee day-to-day office operations to ensure smooth workflow Assist project managers with subcontractor agreements, COI collection, and scheduling logistics

Qualifications:

Background in construction administration, project coordination, or a GC/subcontractor office environment Fluent in construction terminology: RFIs, submittals, change orders, Notices to Proceed, lien waivers Experience with permit applications and county/municipal processes in Florida (preferred)

Required Skills:

Strong financial literacy: comfortable with purchase orders, AIA billing, and project budgets Highly organized, proactive, and capable of managing multiple projects simultaneously Strong written and verbal communication skills; bilingual in Spanish or Portuguese is a plus Proficient in Microsoft Office; experience with Procore, Buildertrend, or similar platforms is a plus Comfortable working in direct partnership with ownership - this is a high-trust, high-visibility role Able to commute Monday through Friday to zip code 32826 What we offer: A collaborative, fast-paced environment where your contributions have direct impact Close working relationship with company leadership and project teams Opportunity to grow with an organization that values operational excellence Competitive compensation commensurate with experience
