Job Description
Job Overview We are seeking a dynamic and highly organized Healthcare Office Manager to lead the efficient operation of our busy practice. This pivotal role involves overseeing daily administrative functions, managing office systems, and ensuring smooth communication between personnel, patients, and referring offices. The ideal candidate will be proactive, detail-oriented, and possess excellent organizational and communication skills. As an Office Manager, you will play a key role in fostering a productive workplace, supporting staff needs, and maintaining a positive and collegial atmosphere. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee office supplies inventory, procurement, and filing systems to ensure all resources are available and well-organized. Run payroll, provide HR services, and ensure the office and its staff are compliant with local, state, and federal regulations. Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) to prepare reports, spreadsheets, correspondence, and presentations. Handle revenue tasks such as tracking and reviewing office A/R, productions, and collections with accuracy using spreadsheets and database management tools. Coordinate calendar management and schedule appointments or meetings for staff efficiently. Provide exceptional customer service by assisting patient and staff with inquiries and support needs promptly. Maintain office cleanliness and organization while ensuring compliance with safety protocols; support personal assistant duties as needed. Support administrative tasks such as proofreading documents, managing patient communication, and supporting team projects to enhance overall productivity. Experience Proven office management or administrative experience in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software like QuickBooks. Excellent organizational skills with the ability to multitask effectively while maintaining attention to detail. Experience handling multi-line phone systems and providing superior customer support via phone communication. Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members. Demonstrated ability to manage calendars, coordinate meetings, and perform data entry accurately using spreadsheets. Previous experience in clerical roles involving filing, proofreading, time management, and front desk responsibilities is preferred.
