Full-Time | 40 Hours Per Week Are you the person who somehow knows where everything is, what needs to happen next, and who forgot to follow up? Do you love a good checklist, know your way around billing, and actually enjoy bringing order to a busy day? We may be looking for you. We're searching for an experienced Administrative Assistant to work closely with the owner and become a trusted right hand in keeping the business organized, moving, and on track. This is a true jack-of-all-trades position. Some days you'll be handling billing and administrative work. Other days you'll be organizing schedules, helping manage staff, planning ahead, putting out little fires, or reminding the owner about the thing they definitely said, "Don't let me forget this!" In other words: we need someone who can handle a little bit of everything - and handle it well. What You'll Be Doing Working directly with the owner and helping manage daily priorities Handling billing, payment follow-ups, and billing-related responsibilities Keeping schedules, paperwork, records, deadlines, and tasks organized Assisting with staff management and day-to-day office operations Planning ahead so we're prepared instead of scrambling Following up on unfinished tasks and making sure things actually get DONE Helping with emails, phone calls, scheduling, paperwork, and correspondence Coordinating projects and communicating with employees and outside contacts Troubleshooting the random problems that inevitably pop up Keeping track of the little details that make a BIG difference Occasionally being the person who says, "Already handled it!" before anyone even has to ask You Might Be Our Person If... Serious Part:
EXPERIENCE IS REQUIRED
This is NOT an entry-level position. You MUST have previous professional experience with: Administrative or office management Billing Management and/or staff supervision Organization and planning Managing multiple responsibilities and competing priorities Working independently and making good decisions without constant supervision If you've never handled billing, managed people, or been responsible for keeping an office/business organized, this probably isn't the right position for you. What We're Really Looking For We're not looking for someone who simply waits for a list of tasks every morning. We're looking for someone who eventually learns the business well enough to say: "I saw that coming, so I already took care of it." Someone organized enough to keep us on track, patient enough to handle a busy environment, confident enough to speak up when something needs attention, and experienced enough to know when to take the lead. Basically, we need a professional organizer, problem-solver, planner, billing pro, people-person, reminder system, and occasional fire extinguisher - all rolled into one. Schedule Full-Time | 40 Hours Per Week Reliability and consistent attendance are extremely important.
