The PPEC Office Manager will oversee the daily administrative and operational functions of Brightside Pediatrics and serve as an important support to the Owner, Director of Nursing, nursing staff, therapists, children, and families. This is a hands-on position requiring someone who can multitask, take initiative, solve problems, communicate professionally, and keep the office organized in a busy pediatric healthcare environment. Key Responsibilities Front Office & Family Support Greet children, families, visitors, and staff in a warm and professional manner. Answer phones, emails, and parent inquiries. Assist families with questions, concerns, paperwork, and daily communication. Provide excellent customer service to Brightside families. Maintain a welcoming, organized, and professional front-office environment. Daily Operations Help coordinate the daily operations of the PPEC. Assist with daily attendance and census tracking. Monitor staff schedules, call-outs, timekeeping, and coverage needs. Help coordinate transportation schedules and communication with families. Assist with daily room assignments and operational needs. Communicate with nursing, therapy, transportation, and administrative staff. Identify operational problems and help develop solutions. Records & Documentation Maintain accurate and confidential patient and family records. Maintain attendance records, enrollment paperwork, authorizations, and other required documentation. Assist with tracking required staff documentation and certifications. Maintain organized electronic and paper files. Utilize Microsoft Office, Excel, EMR, and other Brightside software systems. Compliance & Quality Support Brightside's compliance with HIPAA, OSHA, AHCA, Medicaid, and organizational policies and procedures. Maintain confidentiality of all patient, family, and employee information. Assist leadership with preparing documentation for audits, inspections, and quality reviews. Report concerns or potential compliance issues to leadership promptly. Staff & Administrative Support Assist with new employee onboarding and required paperwork. Help maintain employee files and credential documentation. Assist with staff communication, meetings, training coordination, and scheduling. Support the Owner and DON with administrative tasks and special projects. Help promote a positive, professional, and team-oriented workplace. Supplies & Office Management Monitor office and facility supplies. Place orders and maintain appropriate inventory levels. Help maintain organization of the office and administrative areas. Track expenses and assist leadership with administrative budgeting as needed. Qualifications Minimum 3 years of healthcare experience preferred . Previous medical office, pediatric, PPEC, home health, hospital, or healthcare administrative experience preferred. Previous leadership or supervisory experience strongly preferred. Excellent organizational and time-management skills. Strong written and verbal communication skills. Professional and compassionate interaction with children, families, and staff. Ability to maintain strict confidentiality and understand HIPAA requirements. Comfortable working with computers, Microsoft Office, Excel, email, and electronic healthcare systems. Strong problem-solving skills and attention to detail. Ability to multitask and prioritize in a fast-paced environment. Dependable, accountable, and willing to take initiative. Must be comfortable working around medically complex and medically fragile children. Education High school diploma or equivalent required. Pay:
