HeartWell Medical Group — Winter Park, FL Full-time | $55,000-$65,000 annual salary | Monday-Friday | Exempt | In-office About Us HeartWell Medical Group is a growing cardiology practice in Winter Park, FL, led by Dr. Raghav Sharma. We provide comprehensive cardiovascular care — preventive heart health, advanced diagnostics, and interventional and vascular cardiology — alongside Thrive by HeartWell, our aesthetics and medical weight loss practice. We are known for a personal, high-touch patient experience, and we are preparing for our next phase of growth, including expansion to additional locations. The Opportunity We are hiring a Practice Manager to lead day-to-day operations and to build the documented systems that will carry the practice through its expansion. This is a high-ownership role reporting directly to the physician owner. The right candidate is energetic, organized, and self-directed — someone who takes genuine satisfaction in developing processes, leading a team to a high standard, and seeing measurable results. Success in the first 12-18 months looks like: A well-organized, accountable team — clear expectations, consistent feedback, and reliable coverage. A documented operations manual — standard operating procedures for scheduling, onboarding, front desk, checkout, and procedure coordination, largely authored by you. A replicable operating model — when our next location opens, it opens on the systems you helped build. Key Responsibilities Develop and maintain SOPs — document core workflows, train staff on them, and ensure consistent execution across the practice. Lead the team — supervise front desk, checkout, and clinical medical assistant staff; hire, onboard, coach, schedule, and conduct performance conversations directly. Manage daily operations and patient flow — appointment schedule density, wait times, room turnover, and full procedure schedules. Support revenue integrity — time-of-service collections, copay capture, coordination with our billing partner, and missing-charge follow-up. Coordinate vendors, supplies, IT, and compliance — eClinicalWorks, phone systems, HIPAA/OSHA training records, and policy documentation. Support expansion planning — partner with Dr. Sharma on operational readiness for future locations. Reporting Structure This role supervises front desk, checkout, clinical medical assistants, and future administrative hires. Clinical providers and contracted clinical staff report to Dr. Sharma. QualificationsRequired 3+ years managing staff in a medical practice , including direct responsibility for hiring, onboarding, performance management, and staff scheduling. Demonstrated experience building operational infrastructure — for example, developing an SOP or policy library, standing up a new office or service line, or leading a significant operational improvement. We will ask for specific examples and outcomes. Strong written communication skills — this role authors the procedures the practice runs on. Full-time, in-office availability — Monday-Thursday core schedule, Friday as needed. Strongly Preferred Bilingual English/Spanish (reflective of our patient base). eClinicalWorks experience (comparable EMR experience acceptable, with the expectation of learning eCW quickly). Career progression through medical office roles (e.g., MA or front desk → lead → manager). Cardiology, specialty, or multi-site practice experience.

advanced degrees and certifications are valued, but a demonstrated record of building and improving operations matters most to us. Compensation & Benefits Base salary: $55,000-$65,000 (exempt), commensurate with experience.
