Job Summary Law Firm Office Manager & Legal Operations Coordinator TW Law Group, PLLC is seeking a highly organized, proactive, professional, and dependable Office Manager to oversee the day-to-day administrative operations of our law firm. This is not simply a receptionist or administrative assistant position . We are looking for someone who takes ownership, anticipates what needs to be done, follows through without constant reminders and helps ensure that the office runs efficiently every day. The ideal candidate is comfortable working in a fast-paced law firm, managing multiple priorities, communicating with clients, monitoring deadlines and staff calendars, handling confidential information, and solving routine problems independently. Key Responsibilities Office & Staff Management Manage the day-to-day administrative operations of the office. Monitor staff calendars and deadlines. Remind team members of approaching deadlines and escalate overdue or time-sensitive matters to the Managing Attorney. Help coordinate workflow and ensure responsibilities are assigned and completed. Maintain a professional and respectful work environment. Address routine employee issues and enforce established office procedures. E-Filing & Case Administration Client Intake & Communication New Client & Matter Setup Payments & Administrative Records Mail, Scanning & File Management Marketing & Social Media Office Appearance & Security The successful candidate will be: Highly organized and detail-oriented. Proactive rather than reactive. Comfortable supervising and holding others accountable. Professional and confident when communicating with clients and staff. Able to prioritize multiple assignments and deadlines. Capable of working independently without constant supervision. Excellent at following through until a task is actually completed. Comfortable learning and using legal technology. Able to maintain strict confidentiality. Dependable, punctual, and consistent. Able to remain calm and professional in a busy legal environment. Preferred Qualifications Prior law firm experience strongly preferred. Prior office management, legal assistant, paralegal, or legal operations experience preferred. Familiarity with LawPay, Microsoft Office, Canva, Constant Contact, and social-media platforms is a plus. Strong written and verbal communication skills. Strong computer and document-management skills.
