Job Description

Office Manager/Administrative Assistant provides high-level administrative, organizational, and operational support to the COO and Executive Leadership Team. This role ensures the executive's priorities are executed efficiently, schedules are managed flawlessly, and cross-department communication flows smoothly. The Office Manager/Administrative Assistant acts as the executive's right hand — anticipating needs, solving problems before they reach leadership, and maintaining strict confidentiality. Core Duties & Responsibilities 1. Executive Support Manage executive calendars, meetings, travel schedules, and communications. Prioritize and organize daily tasks, ensuring the executive is prepared for every meeting. Draft, proofread, and organize executive-level emails, memos, and documentation. Maintain confidentiality of all company, employee, and customer information. in charge of the Office Activities / Parties Lunches / Snacks Ordering Office Decoration / Maintenance / Budget 2. Operations & Coordination Coordinate with Directors, Managers, and Team Leaders regarding tasks, deadlines, and follow-ups. Track outstanding initiatives across all departments and provide weekly status updates. Assist in preparing presentations, reports, and dashboards. Manage meeting minutes and follow-up action items. 3. Project Support Assist in special projects assigned by the COO (SOP updates, budgeting cycles, events, process improvements). Help organize company-wide events, announcements, and executive communications. Oversee project deadlines and escalate delays where needed. 4. Communication & Gatekeeping Prioritize inbound requests, emails, and messages to protect executive time. Act as the point of contact between the executive office and internal/external stakeholders. Maintain professionalism in all interactions. 5. Administrative Management Prepare documents, contracts, and forms as needed. Organize digital files, folders, SharePoint, and Planner tasks. Handle expense reports, receipts, invoices, and travel reimbursement. 6.
Requirements:
Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management tools. Excellent typing speed combined with meticulous proofreading and transcription abilities to produce error-free documents. Proven experience in event planning, project coordination, office management, and executive administrative support. Familiarity with QuickBooks for bookkeeping tasks and DocuSign for electronic document signing processes. Outstanding phone etiquette with experience managing multi-line phone systems for professional communication. Demonstrated ability to handle clerical tasks such as filing, data entry, and maintaining organized records efficiently.
