Office Administrator / Client Success Coordinator Position Summary We are looking for a dependable, friendly, and motivated person who enjoys helping others and takes pride in doing things well. We are a small, team-oriented organization where everyone's contribution is noticed and felt . We rely on one another to step in, follow through, solve problems, and help wherever needed. This position is an important part of our Client Success Team and overall office operations. We need someone who takes ownership, anticipates needs, stays productive, and looks for ways to contribute without needing constant direction. This is not an entry-level position. Key Responsibilities Answer company phone calls with a warm, professional, and helpful attitude. Make proactive client follow-up calls after services and projects to ensure satisfaction and gather feedback. Build relationships with clients and help them feel valued and well cared for. Resolve client questions and concerns that can reasonably be handled within this role. Recognize opportunities where clients may benefit from additional services and communicate those opportunities to the appropriate team member. Follow through on client needs and make sure nothing falls through the cracks. Accurately document client conversations, feedback, leads, and follow-ups in our CRM. Use Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets. Assist with scheduling, documents, filing, correspondence, and general office administration. Monitor and order office supplies, snacks, and other necessities. Help keep the office and common areas clean, organized, and welcoming. Receive deliveries and assist with basic meeting, event, and office setup as needed. Anticipate needs and take initiative rather than always waiting to be asked. Manage time well, complete routine tasks efficiently, and remain productive throughout the day. Be flexible when priorities change and willing to lend a hand outside normal responsibilities. Handle client, employee, financial, and company information with appropriate discretion and confidentiality. Look for ways to improve client service, increase efficiency, control unnecessary costs, support sales, and help the company reach its goals. Client Success A key part of this position is making sure our clients have a great experience after the work is completed—not just while we are performing the service. This person will proactively reach out to clients, listen to feedback, address appropriate concerns, and identify additional ways we may be able to serve them. Our goal is to ensure client satisfaction, strengthen relationships, increase retention, generate referrals, and identify opportunities for additional services. This is not primarily a sales position, but we expect this person to understand that excellent client service and company growth go hand in hand. Experience We're Looking For We are looking for someone with at least 3 years of professional office, administrative, client service, account management, inside sales, or similar business experience . Experience working in a small, privately owned or service-based business is strongly preferred . Is there a better or more efficient way to do this? What can I take care of without waiting for someone to ask me? We don't expect someone to know everything on day one. We do expect them to learn, ask good questions, become increasingly independent, and take genuine ownership of their role. Preferred, But Not Required Knowledge of or interest in fishing, lakes and ponds, wildlife, construction, hunting, or other outdoor industries is a plus. Industry experience is not required. We can teach our business to someone who is curious, eager to learn, and takes pride in becoming knowledgeable about what we do. Schedule Monday-Friday, 8:00 a.m.-5:00 p.m. One-hour lunch This is an in-office position . Because this role supports our clients, office, and team throughout the business day, consistent attendance and punctuality are important. Physical Requirements This is primarily an office position but also involves helping with the everyday needs of a small business.
