As an Office Manager, you will be the backbone of our office, fostering a positive environment that promotes efficiency and professionalism at every turn. Duties Oversee daily office operations, including managing supplies, equipment, and maintenance needs to ensure a seamless work environment Coordinate front desk activities such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Manage calendar scheduling, appointment setting, and meeting arrangements using productivity software and calendar management tools Handle data entry tasks with accuracy using spreadsheets and word processing programs; maintain organized filing systems both digitally and physically Support administrative functions including proofreading documents, preparing reports, and managing correspondence to uphold high standards of professionalism Utilize QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking; ensure all financial records are accurate and up-to-date Provide excellent customer service by assisting clients and visitors promptly while maintaining a friendly and professional demeanor Qualifications Proven experience in office management or administrative roles with strong clerical skills and familiarity with office procedures Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with technical proficiency in productivity software and computer literacy Experience with multi-line phone systems, data entry, filing, and calendar management is essential Bilingual abilities are highly desirable to support diverse client interactions Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent communication skills—both verbal and written—with a focus on phone etiquette and client communication Personal assistant or front desk experience is a plus; familiarity with customer support practices enhances your fit for this role Demonstrated time management skills coupled with attention to detail in proofreading and document accuracy Join us as an Office Manager to be at the heart of our operations!
