Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our mental health group practice, Holistic Healing Counseling Services. We are a small group practice of clinicians providing individual, family, and couples counseling to children and adults. This role is vital in ensuring smooth administrative functions, fostering a productive workspace, and providing exceptional support to staff and clients. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, processing/collecting payments, and directing calls with professional phone etiquette. Coordinate calendar management and scheduling for team meetings, appointments, and events using productivity software and calendar tools. Oversee office supplies inventory, place orders as needed, and maintain organized filing systems for easy document retrieval. Handle data entry tasks with accuracy using spreadsheets and word processing software; ensure all records are up-to-date and properly maintained. Provide clerical support as needed such as proofreading documents, preparing reports, and managing correspondence to support daily office functions. Support client communication efforts by managing email correspondence, responding to inquiries promptly, and ensuring excellent customer service at all times. Requirements Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software for efficient task management. Experience with QuickBooks or other accounting software is preferred. Excellent computer literacy including data entry, file management, and spreadsheet creation. Strong communication skills, both verbal and written; bilingual ability is a plus but not required. Demonstrated ability to handle multi-line phone systems with professionalism and courtesy. Previous office experience involving clerical tasks such as filing, proofreading, calendar management, and customer support. Ability to prioritize tasks effectively while maintaining attention to details. Personal assistant or front desk experience is advantageous; familiarity with technical tools like data entry systems enhances performance. Proven experience and interest in mental health or behavioral health is strongly preferred.
