- Bookkeeping (70%)
Manage Accounts Payable:
enter invoices, verify pricing, track vendor statementsManage Accounts Receivable:
create invoices, track payments, follow up on outstanding balances- Maintain accurate records in QuickBooks
- Reconcile bank accounts and credit cards monthly
- Process subcontractor paperwork (W-9's, insurance certificates, lien releases)
- Assist with payroll preparation (hourly employees and subcontractors)
- Maintain organized financial files and documentation
- Prepare simple weekly financial reports for ownership
- Track recurring expenses, subscriptions, and vendor renewals Office Administration Responsibilities (30%)
- Answer phones, greet visitors, and support general office communication
- Maintain organized digital and physical filing systems
- Manage office supplies, vendor accounts, and basic purchasing
- Prepare simple internal documents, forms, and correspondence
- Coordinate incoming mail, deliveries, and document routing
- Support HR recordkeeping (new hire packets, employee files)
- Keep the office clean, orderly, and running efficiently Required Skills & Experience
- 3-7 years bookkeeping or office administration experience
- Strong proficiency with QuickBooks and Excel
- Solid understanding of AP/AR workflows
- High attention to detail and accuracy
- Strong organizational skills and ability to manage multiple tasks
- Professional communication skills
- Construction or trades industry experience preferred but not required Preferred Qualifications
- Experience with job-cost coding (not project management
- just coding invoices to jobs)
- Familiarity with subcontractor compliance paperwork
- Experience with payroll processing
