Overview We are seeking a highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supporting team members, and maintaining efficient office procedures. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive workplace atmosphere. This position will focus mainly on facilitating the work flow of our various departmenst and ensure that the client's paperwork continues to move. Responsibilities Manage daily office operations, including overseeing office supplies, equipment, and maintenance needs to ensure a well-functioning workspace. Serve as the first point of contact for visitors and clients, providing exceptional customer service and professional front desk support. Perform data entry and maintain organized filing systems, ensuring all records are accurate, up-to-date, and easily accessible. Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) to prepare documents, spreadsheets, and correspondence with precision. Assist with calendar management and scheduling appointments for team members or executives to optimize time management. Support office management tasks including invoicing via QuickBooks, coordinating meetings, and managing client communication. Demonstrate strong organizational skills by managing multiple priorities simultaneously while maintaining high levels of accuracy and attention to detail. Qualifications Proven clerical or administrative experience in an office setting with a solid understanding of office management principles. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills. Experience with QuickBooks or similar accounting software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Strong verbal and written communication skills; bilingual abilities are a plus for diverse client interactions. Familiarity with data entry, filing systems, and general clerical procedures. Demonstrated customer service skills with professional phone etiquette and client communication abilities. Personal assistant experience or calendar management skills are beneficial for supporting executive needs. Ability to proofread documents carefully and maintain high standards of accuracy in all work performed.
