Job Description

Law Firm Office Manager A well-established, smaller law firm in Arlington Heights is seeking an experienced Office Manager to oversee the day-to-day administrative and financial operations of the office. This is a hands-on position for someone who is comfortable working with numbers, understands how a law office operates, and can effectively work with attorneys and staff. The right person does not need to be an accountant or attorney, but should be organized, dependable, financially competent, and comfortable taking ownership of the administrative side of a professional office. Responsibilities Oversee the general day-to-day administrative operations of the law office Work closely with attorneys and staff to keep office procedures organized and running efficiently Handle and review financial information used throughout the practice Assist with legal billing and maintain familiarity with legal billing software Reconcile and balance checking and operating accounts Assist with or oversee payroll processing Monitor established office procedures, policies, and internal processes Help ensure administrative and financial procedures are followed consistently Maintain records, spreadsheets, reports, and other internal documentation Use Microsoft Word and/or WordPerfect for office documents and correspondence Use Microsoft Excel for financial tracking, reporting, and general office administration Communicate effectively with attorneys, paralegals, and administrative staff Identify questions or issues early and seek clarification when additional information is needed Qualifications Previous law firm or legal office experience strongly preferred Familiarity with the legal process and general law firm operations Prior experience with legal billing systems Comfortable working with numbers, financial information, and basic accounting functions Ability to reconcile checking accounts and review financial records for accuracy Experience with payroll processing or payroll administration Proficiency with Microsoft Word and Excel WordPerfect experience is helpful Strong organizational skills and attention to detail Ability to work independently while also interacting effectively with attorneys and staff Comfortable following established procedures and maintaining consistency Willingness to ask questions and obtain clarification rather than make assumptions Professional, dependable, and capable of handling confidential information The Opportunity This position is ideal for someone who enjoys being the person who keeps a smaller professional office organized and functioning smoothly. You will work directly with the firm's attorneys and staff and have meaningful responsibility for the administrative, billing, payroll, and financial functions that support the practice. We are looking for someone who is practical, detail-oriented, comfortable with numbers, and experienced enough to step into a law office environment and contribute quickly.
