In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Handle multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools Support bookkeeping tasks such as invoicing, expense tracking, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including photocopying, scanning, mailing, and maintaining office supplies inventory Provide excellent customer service by supporting clients, vendors, and team members with their administrative needs Experience Prior office management or administrative experience in a fast-paced environment is preferred Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and front desk reception duties Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Familiarity with office equipment such as fax machines, printers, and scanners Previous experience in customer support Personal assistant or calendar management experience will be advantageous for coordinating schedules smoothly Join us in creating a vibrant office environment where your organizational talents shine!
