Duties Oversee daily office operations, including administrative tasks, filing, calendar management, and maintaining confidential information with discretion. Manage scheduling for team members, appointments, and client meetings using advanced calendar tools. Coordinate dispatch activities by assigning tasks, tracking job progress, and ensuring timely completion of services. Utilize QuickBooks desktop Enterprise for bookkeeping and maintaining accurate financial records. Provide exceptional customer service by communicating effectively with clients and addressing inquiries promptly via phone or email. Maintain organized filing systems and ensure compliance with company policies regarding data security and confidentiality. Proven experience in office management or administrative roles within a professional setting. Supervising experience demonstrating leadership capabilities and team oversight skills. Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), spreadsheets, and other financial or office management software. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills—both verbal and written—with professional phone etiquette. Ability to handle confidential information responsibly while maintaining high levels of integrity. Demonstrated ability to supervise staff effectively while fostering a collaborative team atmosphere.
