Responsibilities and Duties Office Administration
- Manage the daily operations of the office and administrative tasks.
- Develop, implement, and maintain office procedures and standard operating processes.
- Manage inbound leads and appointments for CEO and President
- Maintain office organization, supplies, equipment, and vendor relationships.
- Coordinate incoming mail, deliveries, shipping, and office inventory.
- Ensure company records, filing systems, and digital documents remain organized and up to date. Communication & Customer Experience
- Serve as the first point of contact for clients, vendors, and visitors.
- Ensure exceptional customer service standards are maintained.
- Assist leadership with scheduling, meetings, and company events. Financial & Administrative Support
- Assist with expense tracking, and office budgeting.
- Maintain confidential personnel and company records.
- Support payroll and HR administration as needed. Operations Support
- Help improve internal workflows and administrative processes.
- Coordinate office calendars and conference room scheduling.
- Assist departments with special projects and operational initiatives.
- Monitor office technology and coordinate IT support when necessary.
- Ensure compliance with company policies and administrative procedures. Additional Responsibilities
- Support leadership with day-to-day operational needs.
- Assist in organizing company meetings, training sessions, and events.
- Identify opportunities to improve efficiency and implement solutions.
- Perform other administrative and operational duties as assigned. Qualifications Required Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field preferred (or equivalent work experience).
- Minimum 3-5 years of office management or administrative leadership experience.
- Strong leadership, organizational, and problem-solving skills.
- Excellent verbal and written communication abilities.
- Exceptional attention to detail and ability to prioritize multiple responsibilities.
- Ability to maintain confidentiality and professionalism. Technical Skills
- Proficiency with Microsoft Office (Word, Excel, Outlook, Teams).
- Experience with CRM and project management software preferred (Buildertrend, LMN, or similar platforms).
- Comfortable learning new software and technology.
- Strong computer and document management skills. Desired Characteristics
