Key Responsibilities:
Oversee daily front-desk and patient-facing operations to ensure a welcoming, efficient, and professional experience for every patient. Manage patient scheduling, appointment coordination, cancellations, confirmations, and waitlists to optimize clinic flow and provider schedules. Serve as a primary point of contact for patients, addressing questions, concerns, and service issues with professionalism and empathy. Coordinate patient intake and registration processes, ensuring demographic, insurance, and other required information is accurate and up to date. Verify insurance benefits and assist with authorizations, referrals, and other administrative requirements related to physical therapy services. Maintain accurate patient records and ensure compliance with HIPAA and clinic policies. Coordinate closely with physical therapists and clinical staff to promote smooth communication and efficient patient flow. Monitor front-office workflows and identify opportunities to improve efficiency, patient satisfaction, and overall clinic operations. Assist with administrative and billing-related processes, including copay collection, documentation, and resolving routine patient account questions. Help maintain a clean, organized, and professional front-office environment. Track key front-office metrics and provide feedback to clinic leadership on scheduling, patient experience, staffing, and operational needs. Uphold a positive team culture focused on excellent patient service, accountability, and teamwork.
Qualifications:
Preferred experience in healthcare administration, medical office management, or a similar healthcare setting. Excellent customer service and communication skills, with the ability to interact professionally and compassionately with patients, families, and clinical staff. Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced clinic environment. Commitment to lifelong learning and professional development.
