Job Description

Office Manager Position Overview We are seeking an experienced and highly organized Office Manager to join our client in the South Bend area. This position is ideal for someone who enjoys a variety of responsibilities, has strong administrative and computer skills, and can effectively manage multiple priorities in a busy office environment. The Office Manager will play an important role in supporting daily office operations, assisting individuals with questions and inquiries, maintaining accurate records, coordinating meetings and events, and handling confidential information with professionalism and discretion.

In-person, professional and casual office environment
Pay:
$25+/hr Key Responsibilities Manage day-to-day office operations and administrative activities. Answer phone calls, schedule appointments, and assist individuals with questions and requests. Handle sensitive and confidential documents while maintaining a high level of privacy and discretion. Provide professional and compassionate assistance when addressing concerns or potentially difficult situations. Respond to a variety of questions and inquiries regarding benefits and related programs. Prioritize tasks effectively and recognize time-sensitive or urgent matters. Work closely with third-party administrators and outside professionals regarding benefits and related services. Develop a working knowledge of pension, 401(k), health, and other benefit programs. Coordinate meetings, appointments, and other office activities. Arrange travel reservations and accommodations as needed. Maintain calendars and schedules for events and important activities. Assist with planning, coordinating, and executing events from start to finish. Enter and maintain data accurately and efficiently. Maintain organized and up-to-date files and records. Prepare professional written communications and correspondence. Utilize Microsoft Word, Excel, and other office software as needed. Assist with bookkeeping and financial-related tasks using QuickBooks. Qualifications & Skills Previous office management or administrative experience preferred. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Strong verbal and written communication skills. Professional and courteous customer service skills. Ability to maintain confidentiality and handle sensitive information. Ability to multitask and adapt to changing priorities. Strong problem-solving and follow-through skills. Basic to intermediate knowledge of Microsoft Word and Excel. Basic knowledge of QuickBooks preferred. Ability to work independently while also collaborating effectively with others.
