Job Summary We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. This role offers an exciting opportunity to coordinate office activities, support staff, and enhance overall productivity through effective management of office systems and processes. As an Office Manager, you will play a vital role in creating a welcoming atmosphere for clients and team members alike, fostering an efficient and professional workspace. We are a growing manufacturing and service company that has customers throughout North America. The job is very fast paced with some weekend work required to support the field service group. Duties Manage daily office operations, including overseeing administrative staff and coordinating office activities to ensure efficiency. The rest of the office staff will be developed by the Office Manager Maintain and update office records, files, and databases with accuracy using data entry skills and organizational tools. Customer service and client communication. Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) and spreadsheets to prepare reports, correspondence, and presentations. Support calendar management, scheduling meetings, appointments, and coordinating events to optimize time management. Manage front desk responsibilities including greeting visitors, answering inquiries via phone or email, and maintaining a professional reception area. Oversee office supplies inventory, place orders as needed, and ensure all equipment functions properly for seamless operations. Assist with bookkeeping tasks using QuickBooks accounting software to support financial recordkeeping. Provide clerical support such as proofreading documents, filing paperwork, and performing general administrative tasks to support team productivity. Foster a positive work environment by demonstrating excellent phone etiquette, personal assistant experience skills, and strong organizational abilities. Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service. Proficiency in Microsoft Office Suite (Word processing, spreadsheets, email management) and familiarity with productivity software. Experience with QuickBooks or other accounting software is preferred but not required. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills—bilingual abilities are a plus—to facilitate client interactions and team coordination. Technical proficiency with multi-line phone systems, data entry tools, filing systems, and general computer literacy. Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times. Previous experience supporting front desk operations or as a personal assistant is advantageous. Exceptional time management skills combined with attention to detail for proofreading documents and managing schedules effectively.
