$19-$28/hour, depending on experience Summit Ranch is an outpatient mental health and wellness nonprofit serving children and teens ages 8-18 in Shawnee, Kansas. Located on 100 acres, we provide executive function coaching, clinical therapy, small groups, and seasonal programs while working closely with caregivers throughout the process. As a small team, families work directly with us rather than through layers of intake coordinators and case managers. We start from a simple belief: the kid is not broken. That philosophy shapes how we support youth and families and the experience we strive to create for everyone who interacts withSummit Ranch. The Office Manager plays an important role in making that happen. About the role The Office Manager serves as a central member of the Summit Ranch team, supporting the administrative work that allows our clinical team to focus on serving children, teens, and families. This role coordinates scheduling, paperwork, billing, property logistics, communication, and many of the day-to-day details that keep our programs, services, and organization moving forward. Summit Ranch is a growing nonprofit, which means some systems are well established and others are still evolving. We are looking for someone who is organized, proactive, communicates well, enjoys working with people, and likes creating structure and improving systems. This role is ideal for someone who wants to be part of a mission-driven team making a meaningful impact on children, teens, and families. What you'll do Family Support, Scheduling & Intake
  • Serve as the first point of contact for families by phone, email, and in person.
  • Manage scheduling for appointments, groups, and meetings, including calendar coordination, reminders, cancellations, and rescheduling.
  • Support families through the intake process, including scheduling consultations, collecting paperwork, and maintaining accurate records.
  • Maintain the waitlist and communicate with families regarding openings and next steps.
  • Ensure confidential client information and documentation are maintained securely. Billing & Administrative Operations
  • Prepare invoices, process payments, track sliding-scale agreements, respond to billing questions, and coordinate with Summit Ranch's accounting team as needed.
  • Manage office mail, ordering, supplies, and other administrative needs. Programs, Events & Community Outreach
  • Coordinate registrations, paperwork, and payments for groups, workshops, and seasonal programs.
  • Support fundraising events, donor communications, and community outreach efforts, including acknowledgment and thank-you letters.
  • Maintain outreach and referral tracking systems.
  • Prepare program materials, handouts, and event resources. Property & Vendor Coordination
  • Serve as the primary point of contact for contractors, vendors, and service providers working on Summit Ranch's 100-plus-acre property.
  • Coordinate scheduling, site access, and communication for on-site work and property projects.
  • Maintain vendor records, agreements, certificates of insurance, invoices, and contact information while helping track the operational details that keep the property running smoothly. What we're looking for
  • Ability to maintain confidentiality and HIPAA compliance (training provided).
  • Genuine interest in mental health and in supporting neurodivergent youth and their families.
  • Willingness to learn and become proficient in Google Workspace, SimplePractice, and other tools used by Summit Ranch.
  • Experience with scheduling, records, billing, and office technology.
  • Highly organized, self-directed, and able to manage multiple priorities independently.
