President Position Summary The Controller / Office Manager is a key leadership role responsible for overseeing the firm's financial management and daily administrative operations. In an engineering and surveying environment (35+- employees), this position requires a highly organized, hands-on professional who can manage accounting functions, support project financials, and ensure smooth office operations. This individual will serve as a trusted partner to senior management, providing financial insight, maintaining operational efficiency, and supporting staff across both office and field functions. Key Responsibilities Financial Management & Accounting Maintain the automated general ledger, including journal entries, reconciliations, and financial accuracy Prepare monthly, quarterly, and annual financial statements Lead month-end and year-end close processes Develop and monitor budgets, forecasts, and financial performance Ensure compliance with GAAP and company financial policies Project Accounting & Job Costing Track and analyze project costs, including labor, equipment, and expenses Monitor work-in-progress (WIP) and revenue recognition (percentage-of-completion) Partner with project managers to review budgets, billings, and profitability Ensure accurate invoicing based on contracts, milestones, or time & materials Provide reporting on project performance and key metrics Billing, AR/AP & Cash Flow Oversee client billing, including progress and time-based billing Manage accounts receivable, collections, and aging reports Process accounts payable and maintain vendor relationships Monitor and forecast cash flow; manage banking relationships Payroll & Human Resources Support Process and oversee payroll, including labor allocation to projects Ensure compliance with payroll taxes and reporting requirements Coordinate employee benefits, onboarding, and personnel records Support HR compliance and assist with employee policies Office Management & Administration Oversee day-to-day office operations to ensure efficiency and organization Manage office systems, supplies, and vendor services Support contract administration, document management, and filing systems Assist leadership with administrative tasks, scheduling, and reporting Coordinate with field crews and project teams on administrative needs Compliance, Insurance & Risk Management Maintain business and professional licenses and regulatory compliance Coordinate with external CPA for tax preparation and financial review Manage insurance policies (general liability, professional liability, workers' comp, auto) Assist with contract review, focusing on financial and risk considerations Leadership & Process Improvement Act as a key operational and financial resource for senior management Identify and implement process improvements for efficiency and accuracy Maintain and improve accounting and project management systems May supervise administrative support staff Qualifications Education & Experience Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred 10+ years of relevant experience in accounting and office management Experience in engineering, surveying, construction, or professional services strongly preferred Experience with project-based accounting and job costing required Technical Skills Strong knowledge of GAAP and financial reporting Experience with accounting and project management software (e.g., QuickBooks, Deltek, Ajera, or similar) Proficiency in Microsoft Excel and Office Suite Familiarity with time tracking, billing systems, and payroll platforms Core Competencies Strong organizational and multitasking abilities High attention to detail and accuracy Excellent communication and interpersonal skills Ability to work independently and prioritize effectively Discretion and professionalism with confidential information Key Traits for Success in This Role Comfortable wearing multiple hats in a small business environment Hands-on, proactive, and solution-oriented Strong understanding of project-based business operations Ability to build structure and improve processes Collaborative approach with engineers, surveyors, and senior management Compensation & Benefits $75,000-$85,000 based on qualifications Performance-based bonus potential Health, dental, and vision insurance 401(k) with company match Paid time off and holidaysPay:
