Job Summary We are seeking a dynamic and highly organized Office Administrator / Factotum to join our team in Belle Chasse, LA. This role combines office management, administrative support, operations and legal support to the COO and In-house counsel, and team coordination to ensure smooth daily and strategic operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of responsibilities that keep our office running efficiently and effectively. Duties Manage office operations including scheduling, filing, and document organization. Oversee calendar management for leadership and project timelines, vessel schedules, employee schedules, safety and regulatory compliance. Handle vendor management by sourcing supplies, processing invoices, and maintaining supplier relationships. Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll processing using accounting software like QuickBooks Coordinate event planning activities for company meetings or community outreach events to promote team engagement Maintain confidentiality when handling sensitive information related to personnel or financial data Assist with bookkeeping tasks including tracking expenses, reconciling accounts, and preparing financial reports using spreadsheets and accounting software Requirements Experience in office administration or office management roles with strong clerical skills Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and spreadsheets for data organization and reporting. Experience with QuickBooks or similar financial software for bookkeeping and payroll processing Excellent communication skills—both verbal and written—with a professional phone etiquette. Strong organizational skills with the ability to prioritize tasks efficiently. Knowledge of vendor management practices and human resources procedures. Ability to handle confidential information discreetly while maintaining high levels of accuracy. Experience in event planning or coordinating company functions is a plus. Pay:
$18.00 - $22.00 per hour
