Office Manager - Redi-Med Psychiatry Redi-Med Psychiatry |
Mandeville, Louisiana Salary:
$55,000-$60,000 per year Full-Time | Monday-Friday, 8:00 AM-5:00 PM Redi-Med Psychiatry is seeking an experienced, dependable, and highly organized Office Manager to oversee the daily operations of our growing outpatient psychiatry practice in Mandeville, Louisiana. We are looking for someone with at least 4 years of medical office or healthcare management experience who can take ownership of day-to-day operations, lead staff, improve workflows, and ensure that patients and providers receive excellent support. The ideal candidate is a strong communicator, problem solver, and leader who can work independently while maintaining a professional, patient-centered environment. Responsibilities Daily Office Operations Oversee the day-to-day operations of the psychiatric practice. Ensure the clinic opens, operates, and closes efficiently each day. Manage patient flow, scheduling, check-in/check-out, and front-office operations. Identify operational problems and implement practical solutions. Maintain a professional, organized, and welcoming clinical environment. Coordinate office supplies, equipment, vendors, and facility-related needs. Help develop and maintain office policies and procedures. Staff Management Supervise and support front-office, medical assistant, administrative, and other office staff. Assist with hiring, onboarding, training, scheduling, and performance management. Establish clear expectations for professionalism, attendance, communication, and patient service. Hold staff accountable while maintaining a positive and respectful workplace culture. Conduct regular staff meetings and communicate operational updates. Ensure staff members are properly trained on office procedures and electronic health record workflows. Patient Experience Ensure patients receive timely, professional, and compassionate service. Address patient concerns and complaints appropriately. Help resolve scheduling, communication, and administrative problems. Monitor phone performance, patient messages, and response times. Ensure patients understand scheduling, paperwork, insurance, and other administrative requirements. Insurance & Revenue Cycle Coordination Work closely with the billing team to identify and resolve administrative issues affecting reimbursement. Assist with insurance verification and authorization processes. Monitor outstanding administrative issues that may delay payment. Help ensure accurate patient information, insurance information, and documentation are maintained. Communicate with insurance companies and referral sources when necessary. Assist with improving collection and revenue-cycle workflows. Electronic Health Records & Technology Maintain efficient use of the practice's electronic health record system. Assist staff with scheduling, chart preparation, patient communication, and administrative workflows. Help identify opportunities to improve templates and office workflows. Troubleshoot routine administrative and technology issues and coordinate with vendors when necessary. Maintain appropriate confidentiality and security of patient information. Compliance & Quality Help ensure the practice follows applicable healthcare regulations, HIPAA requirements, and internal policies. Maintain appropriate documentation and administrative records. Assist with audits, credentialing, inspections, and other regulatory requirements. Promote consistent adherence to clinical and administrative policies. Protect patient privacy and confidential information. Practice Growth Support the continued growth of Redi-Med Psychiatry. Help improve scheduling efficiency and provider utilization. Assist with referral development and relationships with outside organizations. Support marketing and community outreach initiatives. Help implement new services, technologies, and operational processes as the practice grows.
Qualifications Required:
Minimum 4 years of experience in medical office management, healthcare administration, or a closely related field . Demonstrated experience supervising or leading staff. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to handle multiple priorities in a busy medical environment. Strong problem-solving and decision-making skills. Professional demeanor and excellent patient-service skills. Ability to maintain confidentiality and handle sensitive information. Strong computer skills.
Preferred:
Experience managing a psychiatry, behavioral health, or other outpatient medical practice . Experience with eClinicalWorks or another electronic health record system . Experience with insurance verification, prior authorizations, medical billing, or revenue-cycle management. Experience with credentialing and healthcare compliance. Experience hiring, training, and evaluating healthcare staff. Familiarity with Medicare, Medicaid, commercial insurance, and Tricare. Experience working in a growing private medical practice. What We're Looking For The right person will be someone who takes ownership . We need an Office Manager who doesn't simply identify problems but works to solve them. You should be comfortable walking into a busy clinic, recognizing what needs to be done, prioritizing tasks, communicating with staff and providers, and following issues through to completion. You should be comfortable saying, "I'll take care of it," and then actually taking ownership of the problem. The position requires someone who is dependable, professional, organized, and able to maintain composure in a fast-paced healthcare environment. Compensation $55,000-$60,000 annually , based on experience and qualifications. This is a full-time position, Monday through Friday, with regular hours of 8:00 AM-5:00 PM . About Redi-Med Psychiatry Redi-Med Psychiatry is a growing outpatient psychiatric practice serving patients throughout Southeast Louisiana. Our practice provides psychiatric evaluation and medication management along with specialized treatments and services, including Transcranial Magnetic Stimulation (TMS) and Spravato .
