Experienced Office Manager needed for a busy and growing primary care office in Lancaster.
Preferred backgrounds:
Medical Office Manager, CNA, or Medical Assistant (MA) ready to step into a leadership role. Schedule Full-time Monday - Friday [8:00 AM - 5:00 PM, working lunch] This role oversees daily office operations, supervises administrative and front-desk staff, and ensures continuity of care across scheduling, billing, and compliance workflows. Key Responsibilities Administrative & Operational Oversight Oversee day-to-day administrative and operational functions of the practice Supervise front-desk and support staff, including scheduling and workflow management Support efficient office operations (check-in/check-out) Patient Communication & Coordination Handle escalated patient inquiries and concerns professionally Oversee new patient registration and scheduling processes Coordinate patient scheduling and insurance verification Medical Administrative Tasks Oversee processing of referrals and prior authorizations Manage medical records requests, ensuring HIPAA compliance Oversee eligibility verifications and appointment confirmations Support billing and revenue cycle processes, working with the practice's billing team Staffing & Provider Support Assist with provider scheduling and rescheduling Assist with onboarding and training of new staff Support HR-related tasks such as timekeeping and basic personnel administration Office Maintenance & Compliance Ensure compliance with state and federal healthcare regulations Order and manage medical and office supplies Oversee general office and exam room upkeep Qualifications Experience as a Medical Office Manager preferred CNA or Medical Assistant (MA) certification is a strong plus Prior experience in a medical or healthcare office setting required Familiarity with EHR/EMR systems (e.g., Athena) preferred Strong organizational, leadership, and communication skills Ability to multitask in a fast-paced clinical environment Knowledge of HIPAA compliance and medical office regulations Proficiency with Microsoft Office and general office software
