Job Description
Job Summary Office Manager position for both Restaurant Company and Real Estate Company. Reporting directly to the owner, the Office Manager will provide essential administrative, financial, and marketing support across the owner's hospitality and real estate businesses. This dynamic role requires a self-starter who can seamlessly transition between managing diner operations (such as payroll and vendor relationships) and real estate administration (such as tenant leases and property management). Key Responsibilities Financial & Payroll Management Work directly with an outsourced bookkeeping vendor and provide financial reports as requested by the owner and/or accountant. Process checks via QuickBooks and manage the timely payment of all monthly taxes. Process weekly payroll for approximately 35 employees in coordination with the payroll company. Assist with financial data entry and onboard new employees into the payroll software. Operations & Systems Management Manage back-of-house operations utilizing the Toast POS system. Handle onboarding for new employees via Toast and internal HR systems. Maintain structured physical and digital filing systems for all businesses to ensure a clean, organized office environment. Order office supplies, track miscellaneous inventory, and interact/establish relationships with core vendors. Willingness to learn, manage, and troubleshoot basic IT, integration systems, backup systems, and security cameras. Real Estate & Property Administration Assist with property management tasks for the real estate portfolio. Draft and create leases for tenants as required. Marketing & Social Media Provide creative marketing, branding, and graphic design support. Maintain a large database email list and spearhead email campaigns using Constant Contact. Collaborate with the owner on social media marketing across platforms including Facebook, Instagram, TikTok, Twitter, Google, and Yelp. Handle marketing outreach with local hotels and other applicable professional contacts. Logistics & Miscellaneous Safely transport items, pick up products, and move materials between the warehouse, offices, or real estate properties (must be comfortable lifting up to 50 lbs.). Attend relevant industry trainings and professional classes as needed.
Qualifications & Skills Experience:
Minimum of 1 year of bookkeeping experience is preferred. Experience working in a fast-paced environment is highly valued.Software Proficiency:
Full knowledge and hands-on experience with all aspects of QuickBooks is required. Strong proficiency in Microsoft Office (Word, Excel, Calendar).System Knowledge:
Prior experience with POS systems (specifically Toast) and marketing platforms (Constant Contact, Facebook, Instagram, TikTok, Yelp) is strongly preferred.Core Competencies:
Excellent computer skills and a quick learner for new technologies. Exceptional interpersonal and communication skills. Strong organizational skills, extreme attention to detail, and a self-starter mindset. Ability to work independently while remaining a collaborative team player. High flexibility with the agility to shift priorities as business needs arise.Travel Requirements:
Must possess a reliable vehicle and a valid driver's license for local property and supply visits.Work Environment & Benefits The Office:
