In this role, you will be the backbone of daily office operations, ensuring smooth administrative workflows, excellent customer service, and efficient management of office functions. The ideal candidate will possess strong computer skills, exceptional organizational abilities, and a professional demeanor that fosters a welcoming environment for clients and staff alike. This position offers an exciting opportunity to contribute to the overall efficiency and success of our organization. Responsibilities Serve as a key point of contact for Sales staff and share updates with customers as needed. Prepare and review domestic and international shipping documents, including airway bills and order confirmations. Respond to customer questions in a timely, professional, and friendly manner. Maintain and update shared inventory files and other sales-related records. Communicate with customers to gather expected order information when needed. Organize customer orders from entry through fulfillment, including data entry, inventory allocation, release coordination, freight coordination, and distribution of supporting documents. Assist with documentation for frozen shipments. Enter purchase and sales orders into ERP accounting systems as needed. Support accounting activities, including invoicing. Provide customers with order confirmations, required documentation, and shipment updates. Demonstrate East Coast Seafood's core values by acting with integrity, working respectfully with others, supporting teamwork, adapting to change, and taking pride in delivering high-quality products. You may be a great fit for this role if you: Are bilingual in English and Spanish and enjoy working with a diverse group of people. Have office experience or transferable skills, along with working knowledge of Microsoft Outlook, Excel, and Word. Enjoy working with others and communicating across different teams and personalities. Are highly detail-oriented and take pride in accurate work. Can manage multiple tasks, stay organized, and meet deadlines. Bring strong communication, problem-solving, interpersonal, and follow-up skills. Are comfortable with an early start time of 7:00 a.m., Monday through Friday.
